Role Description
This is a part-time, on-site role based in Bay Area, CA, for a Night Market Event Coordinator. The coordinator will oversee event planning and on-site management, working collaboratively with vendors, staff, and partners to ensure smooth event execution. Day-to-day responsibilities include coordinating logistics, managing communication with stakeholders, handling vendor inquiries, and ensuring the overall success of each event. The role also involves assisting with sales efforts, ensuring high-quality customer service, and promptly addressing any operational issues during events.
Key Responsibilities
- Lead full event operations from setup through breakdown (approx. 7:00 AM – 8:30 PM)
- Manage vendor load-in/out, traffic flow, and enforce operational deadlines (e.g., vehicle cutoff)
- Supervise volunteers and coordinate staffing across entrances and booth operations
- Oversee attendee experience, including information booth operations and engagement
- Drive and track attendee survey completion as a key performance metric
- Monitor crowd flow, enforce safety protocols, and resolve real-time issues
- Coordinate site breakdown, cleaning crew, equipment storage, and final lockup
- Conduct final site walkthrough; ensure all vendors exit and site is secured
Qualifications
- Proficiency in Event Planning and Event Management, with the ability to handle logistics and execute large-scale events effectively
- Strong Communication and Customer Service skills, with the ability to professionally interact with vendors, staff, and attendees. Ability to speak English, Vietnamese, or Spanish is preferred.
- Exceptional organizational and multitasking skills to manage various aspects of events
- Flexibility to work evenings and weekends, and ability to work effectively in a fast-paced environment
- Knowledge of the local Oakland, CA area and community organizations is a plus
