We are seeking a dependable and organized Administrative Assistant to help manage day-to-day operations for multiple service-based businesses. This position requires someone who can multitask, communicate professionally with customers, and help keep operations running smoothly.
The ideal candidate is detail-oriented, reliable, and comfortable handling phones, scheduling, customer service, and administrative tasks in a fast-paced environment.
Responsibilities
- Answer incoming phone calls and respond to customer inquiries
- Schedule appointments and coordinate calendars
- Create estimates and invoices
- Receive and process customer payments
- Communicate with customers regarding appointments and services
- Organize paperwork and maintain records
- Assist with office management and daily administrative tasks
- Coordinate with field staff and management
- Follow up with leads and existing customers
Preferred Qualifications
- Administrative or office experience preferred
- Strong customer service and communication skills
- Comfortable multitasking and staying organized
- Experience with estimates, invoices, or QuickBooks is a plus
- Basic computer skills required
- Ability to work independently and prioritize tasks
- Professional phone etiquette
