Office Assistant - Job Description
- At least 5 years of experience in the field or in a related area
- High school diploma or equivalent; college degree preferred
- Professionalism/discretion and judgment; emotional intelligence
- Proven administrative or assistant experience
- Excellent time management skills
- Ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficiency in MS Office (Excel, PowerPoint, Publisher, Word, Access)
- Working knowledge of office equipment
- Accuracy in editing and proofreading
- Telephone Skills
- Resourcefulness/self-initiator
- Language skills – English and Spanish: speaking, reading, writing, translating, transcribing.
On any given day, the Administrative Assistant may perform a variety of tasks, such as:
- Assist in the preparation of regularly scheduled reports
- Update and maintain office documents; includes but not limit to contractor and vendor contracts
- Order office supplies and research new deals and suppliers
- Write and distribute email, correspondence, memos, letters, scan materials
- Answers door; greets and welcomes guests
- Answers phones, takes messages and responds to emails.
- Helps with special events as needed
Other Responsibilities
* Assists leadership, making flight reservations as needed and other office work
* Prepares, collates and mails correspondence to sisters, family members, associates
* Prepares and mails out booklets and cards
* Keeps mailing lists current
* Prepares, compiles, prints and mails out Directory
* Prepares, compiles, types, prints the Administrative annual and four-year reports
* Prepares for monthly gatherings (makes copies, assists with set up, assists with housing
of sisters, and meal count, etc.)
* Responsible for Employee Timecards- signed and scanned to HR in a timely manner
* Maintains office equipment in working condition; calls for maintenance as needed
* Compiles and keeps current an office handbook of businesses/supplies and order process
* Updates vehicle information (vehicle log/mileage, inspection/registration) on all vehicles
* Arranges and keeps supply and storage area in order
* Keeps office entrance area in order; making sure office area are cleaned
Job Type: Part-time
Pay: $20.00 per hour
Expected hours: 25 – 30 per week
