Our client is looking for a highly organized, proactive, and detail-oriented Talent Management Coordinator to support two managers with talent and literary desks. This is an excellent opportunity for someone who thrives in a fast-paced entertainment environment and has experience juggling multiple priorities, communications, and scheduling needs with precision and professionalism.
The ideal candidate has experience supporting two busy desks, preferably within an agency, management company, or similar entertainment-focused setting. This person will play a key role in keeping daily operations organized by managing calendars, coordinating client and audition activity, tracking submissions, handling calls, and ensuring both managers are supported efficiently throughout the day.
Key Details:
- Assignment Duration: Freelance opportunity beginning ASAP, expected to last a minimum of 3 months
- Schedule: Monday–Friday, 9:30 AM – 6:30 PM
- Work Arrangement: On-site Monday–Thursday | Remote Fridays
- Location: Los Angeles, CA 90043
- Pay rate: $25/hr.
Key Responsibilities
Executive & Administrative Support
- Manage inboxes, calendars, schedules, and client-related activity for two managers.
- Prioritize incoming communications and track follow-up items to completion.
- Coordinate meetings, video calls, and general scheduling logistics.
- Provide regular updates on outstanding action items and daily priorities.
Talent & Literary Coordination
- Support both talent and literary desks with day-to-day administrative needs.
- Prepare and organize submissions with direction from the managers.
- Track outgoing and incoming submissions and maintain accurate records.
- Assist with managing client appointments, project updates, and related communications.
Audition & Client Support
- Coordinate audition requests, self-tapes, and appointment scheduling.
- Draft and organize client communications for review and distribution.
- Download, organize, and share audition and submission materials as needed.
- Maintain clear and accurate calendar details for clients and appointments.
Phone, Communication & Office Coordination
- Answer and route incoming calls in a polished and professional manner.
- Take thorough messages and communicate updates promptly.
- Maintain organized contact records and communication logs.
- Help ensure smooth day-to-day workflow across both desks.
Travel & Logistics
- Coordinate travel arrangements, itineraries, and related scheduling details.
- Provide clear logistical information including reservations, arrival details, and other support materials.
Qualifications
- Experience supporting two desks, ideally within an agency, management company, or entertainment organization.
- Prior experience in talent, literary, or related entertainment administration strongly preferred.
- Excellent organizational skills with strong attention to detail.
- Ability to manage multiple priorities and deadlines with professionalism and urgency.
- Strong written and verbal communication skills.
- Excellent phone etiquette and client-facing professionalism.
- Resourceful, dependable, and comfortable working in a fast-moving environment.
- Technical proficiency in Google Workspace (Gmail, Docs, Sheets, and Drive), Slack, RingCentral, Box, and Microsoft Office, with experience using entertainment industry platforms such as inEntertainment, ActivePitch, IMDbPro, Studio System, Breakdown Services, and Cast It preferred.
