Marketing Project Manager (contractor)

We are seeking a detail-oriented, execution-focused Marketing Project Manager for a freelance engagement. This role is ideal for a proactive professional who excels at moving projects from planning through delivery, keeping stakeholders aligned, and ensuring deadlines, dependencies, and deliverables stay on track.

Reporting directly to the marketing leadership team, this individual will partner closely with marketing, regulatory, legal, operations, and external vendors in a fast-paced, highly regulated environment.

Key Responsibilities

• Plan, coordinate, and deliver cross-functional marketing projects from kickoff through completion, with close attention to timelines, risks, dependencies, and outcomes.
• Lead project meetings by creating agendas, documenting decisions, defining action items, and following up on commitments and deadlines.
• Build and manage project plans, workflows, task assignments, status reporting, and milestone tracking in Asana or a comparable project management platform.
• Partner with regulatory and legal stakeholders to coordinate reviews, approvals, and documentation requirements for marketing deliverables.
• Collaborate with internal teams and external agencies, print suppliers, warehousing partners, and inventory providers to support campaign and collateral execution.
• Coordinate operational details for print production, material fulfillment, warehousing, and inventory tracking.
• Identify workflow gaps and develop practical, repeatable processes that improve project visibility, efficiency, and accountability.
• Communicate project progress, changes, risks, and issues proactively; escalate blockers when appropriate.
• Manage multiple concurrent initiatives while adapting effectively to shifting priorities and evolving requirements.
  
  

Required Qualifications

• Five or more years of professional project management experience, ideally supporting marketing, operations, or cross-functional business initiatives.
• Strong proficiency with project management tools such as Asana, Jira, Trello, Monday.com, Smartsheet, or Microsoft Project.
• Demonstrated ability to facilitate meetings, drive decisions, and maintain accountability across teams without direct reporting authority.
• Proven ability to organize and prioritize multiple projects simultaneously while maintaining exceptional attention to detail.
• Experience operating in a regulated industry or coordinating work subject to legal, regulatory, compliance, or formal approval processes.
• Excellent written, verbal, and stakeholder-management skills.
• Experience working with external vendors, agencies, and operational partners.
  
  

Preferred Experience & Attributes

• Experience in medical devices, healthcare, life sciences, pharmaceuticals, or another regulated industry.
• Experience coordinating legal and regulatory review cycles for marketing materials, product communications, or related deliverables.
• Background developing and documenting project management or operational workflows.
• Comfort navigating ambiguity, changing priorities, and incomplete requirements.
• A hands-on, execution-oriented approach with a strong focus on follow-through and continuous process improvement.
