Office Administrator – High-Rise Residential Building
We are seeking a highly organized, detail-oriented, and customer-focused Office Administrator to support the on-site Management Office of a high-rise apartment building in Fort Lee, NJ. This full-time position is responsible for managing the building’s main reception area, providing exceptional service to residents and visitors, and supporting the Property Manager and Financial Administrator with daily administrative and accounting functions.
The ideal candidate will be professional, dependable, organized, and able to effectively manage multiple priorities while maintaining a high level of accuracy and confidentiality.
Key Responsibilities
- Manage the front desk and reception area, including answering and directing incoming calls and assisting residents, guests, and vendors.
- Handle incoming and outgoing correspondence, including mail, email, and other communications.
- Organize, maintain, and update physical and electronic files, records, and documents.
- Provide administrative support to the Property Manager, Financial Administrator, and other departments as needed.
- Assist with bookkeeping, data entry, invoice processing, and other accounting-related tasks using QuickBooks.
- Prepare documents, reports, correspondence, and spreadsheets using Microsoft Office.
- Ensure the efficient operation of office equipment, systems, and supplies.
- Assist with special administrative projects and provide support during periods of increased workload.
- Help implement and maintain building policies, procedures, and administrative processes.
- Maintain a professional, welcoming, and organized management office environment.
- Perform additional administrative duties as assigned.
Qualifications
- Minimum 2 years of office administration experience, preferably in a property management, residential, hospitality, or customer-service environment.
- Experience supporting multiple managers or departments.
- Strong customer service, organizational, and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- QuickBooks experience required, with basic bookkeeping knowledge preferred.
- Strong attention to detail and accuracy.
- Ability to prioritize tasks, meet deadlines, and work independently.
- Professional demeanor with excellent interpersonal and communication skills.
