Role Overview

 

We are seeking a skilled Operations Manager to oversee and strengthen the operations of our coffee shop business in Seattle.


This role focuses on cost management, develop reliable systems, and ensuring full compliance with local regulations.

This role is responsible for building disciplined operating processes, improving efficiency.

The Operations Manager will play a leadership role in how the business operates, managing the team, system, costs, and controls, while maintaining high service and quality standards.


Key Responsibilities

Business Planning & Financial Performance


  • Co-develop the annual business plan, operating budget, and financial forecasts with ownership.
  • Own store-level P&Ls, ensuring performance aligns with approved budgets.
  • Track, deliver, and continuously improve key operational and financial KPIs.
  • Lead budget variance analysis, cost monitoring, and corrective planning.


Procurement, Purchasing & Inventory Governance

  • Manage and execute all purchasing activities for the business.
  • Ensure all purchasing records are registered and documented ASAP, maintaining accuracy and compliance.
  • Build and enforce inventory controls, supplier standards, purchasing policies, and waste-reduction systems.
  • Identify and resolve cost leakage, inefficiencies, and operational gaps.
  • Optimize COGS, waste, shrinkage, and controllable expenses through structured controls.


Sales, Collections & Financial Reconciliation

  • Oversee all sales, collections, and deposit activities across stores.
  • Reconcile and tally sales, collections, and bank deposits bi-weekly.
  • Report reconciliation results and performance metrics monthly as a core KPI.


Operational Systems, Auditing & Compliance

Design, implement, and standardize operational systems and workflows across all locations.

Establish reporting structures, accountability frameworks, and audit schedules.

Conduct regular operational audits, cost reviews, and compliance checks.

Ensure compliance with Washington State labor laws, Seattle health department regulations, and local safety & workplace standards


Team Leadership & Store Excellence

  • Ensure consistency in product quality, service standards, store execution, and customer experience.
  • Develop and empower store managers, driving a culture of ownership, accountability, and operational discipline.
  • Optimize labor costs and productivity through structured scheduling and staffing models.


Commercial Growth & Market Expansion

  • Scale and grow online coffee bag sales from our in-house roastery.
  • Develop and expand e-commerce and digital retail channels.
  • Propose and implement new revenue streams and market channels that support growth without requiring new branch openings.
  • Identify and launch new sales and distribution channels (corporate partnerships, retail outlets, subscriptions, and online marketplaces).


Experience & Qualifications
  • 7 years managing multi-unit hospitality operations, ideally in coffee or café businesses.
  • Proven success in cost control, margin improvement, and operational system deployment.
  • Strong knowledge of:
  1. Procurement governance and inventory systems
  2. Labor economics and staffing efficiency
  3. Financial controls, P&L management, and cost optimization
  4. Regulatory compliance (labor, health, safety)
  • Financial literacy, including P&L analysis, budgeting, and KPI reporting.
  • Strong leadership skills with experience driving performance through managers.
  • Commercial experience building retail and online product markets.

  • Accuracy of bi-weekly sales and deposit reconciliations
  • Timeliness of purchase and procurement record documentation
  • Consistency in monthly KPI reporting
  • Growth and scalability of online coffee bag sales
  • Reduction in waste, shrinkage, and cost leakage
  • Consistency in store performance and customer experience
  • Expansion of new revenue and sales channels
