Service Coordinator – Front Counter & Lead Management

Pay: $20.00 – $30.00 per hour (based on experience) Performance Bonus
Location: 1836 HD – Geronimo Business Park, Seguin, TX (between San Antonio & Austin)

We are a growing, veteran-friendly organization looking for a motivated Service Coordinator to drive customer engagement and convert leads into scheduled jobs. Previous experience as a Service Writer or Service Advisor is strongly preferred.

Position Summary

This is not an order-taking position — this is a sales-driven, front-line role responsible for converting inquiries into paying work. The Service Coordinator will manage the front counter, answer phones, handle all incoming leads, sell recommended services, prepare and present estimates, and close approvals with customers. This role also includes parts ordering, scheduling, payment processing, and assisting management with daily operations to maximize shop productivity and revenue.

Key Responsibilities

• Manage the front counter as the first point of contact for customers, vendors, and technicians
• Answer inbound calls, route calls appropriately, and actively manage all incoming leads
• Convert service inquiries into scheduled jobs by building trust and clearly presenting solutions
• Prepare, present, and follow up on estimates to gain customer approval
• Identify opportunities for additional services or preventative maintenance and recommend them professionally
• Write and manage service orders from start to finish, closing approvals and securing commitments
• Order and track parts, ensuring timely availability
• Schedule shop and mobile service appointments, coordinate with technicians
• Track jobs through completion and keep customers updated on progress
• Collect signed Service Agreements, process payments, and close out service orders
• Assist management with workflow planning, reporting, and other duties as assigned
• Maintain a clean, organized service desk and professional customer experience

Qualifications

• Experience in either Heavy-Duty truck/equipment OR RV/motorcoach service required (both preferred but not mandatory)
• Prior experience as a Service Writer or Service Advisor strongly preferred
• Proven sales skills – must be comfortable presenting solutions, overcoming objections, and closing approvals
• Track record of meeting or exceeding sales or performance goals preferred
• Excellent communication skills with a customer-first, consultative approach
• Strong computer skills: MS Office (Word, Excel), Outlook, CRM systems, and dispatching software
• Experience with Fullbay and/or Mitchell 1 highly preferred
• Professional phone etiquette and confidence in following up with customers
• Ability to work under pressure and manage multiple jobs simultaneously
• Strong attention to detail and commitment to hitting performance targets

Schedule

• Full-time: Monday through Saturday
• Standard 40-hour work week, with opportunity for up to 60 hours in busy weeks
• After a successful 90-day probationary period and performance review, optional remote work for later-hour lead management and scheduling support may be available
