What are the responsibilities and job description for the Floating Judicial Assistant position at 15th Judicial Circuit?
SUMMARY
The essential function of the position within the organization is to provide responsible administrative, secretarial and clerical support as a coverage judicial assistant to the assigned judge. The position is responsible for administrative, secretarial and clerical tasks of high confidentiality and responsibility. Travel to the other Circuit courthouses is required. The position reports directly to the Trial Court Administrator.
ESSENTIAL DUTIES
- Provide coverage of judicial offices during absences by the divisional Judicial Assistant.
- Prepare and maintain the judge’s court and professional calendar; schedules and coordinates motions, hearings and conferences; and processes electronically filed documents.
- Provide organizational support for the judge’s caseload, including preparing orders, docketing jury instructions, and a list of pending cases; orders jurors and coordinates in-house services such as interpreters; reviews case files for accuracy, format compliance and completeness prior to submitting files to the divisional judge.
- Screen calls and visitors to the judge’s office.
- Compose and/or edit correspondence, memoranda, directives, notices, orders and other documents while observing strict confidentiality.
- Prepare yearly financial disclosure forms
- Make professional travel arrangements and process travel vouchers.
- Assist court administration directors with administrative duties when not assigned as a coverage judicial assistant.
The omission of specific statements does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position.
KNOWLEDGE SKILLS AND ABILITIES:
- Exceptional written and verbal communication skills.
- Ability to e-file court documents and implement a paperless process.
- Ability to organize documents electronically.
- Proficient in a technologically driven environment with intermediate to advanced computer skills.
- Ability to type proper memoranda, briefs, drafts, opinions in the standard format.
- Knowledge of court procedures and understanding of basic legal terminology.
- Must be highly organized; demonstrate close attention to detail and the ability to work in stressful situations.
- Must have a demonstrated ability to interact with a diverse set of people in an open and friendly manner.
- Ability to maintain confidentiality.
MINIMUM QUALIFICATIONS / KNOWLEDGE, SKILLS & ABILITIES
Bachelor’s degree. Two years of experience in business administration, office skills or related field; or any equivalent combination of education and experience.
Relevant experience and/or education may substitute for the recommended minimum qualifications on a year-for-year basis.
