Introduction

The Department of Information Technology (DoIT) strives to provide the highest level of customer service to state agencies in Information Technology and Telecommunications Voice services.��

Main Purpose of Job

The main purpose of the position is to provide administrative assistance to the Voice Services Unit by preparing, reviewing and tracking invoices, purchase orders and move/add/change requests. Incumbent will be the liaison between the agency and vendor billing departments. The incumbent for this position must be detailed oriented and have good verbal and written communications skills. ***This is a contractual position with limited benefits.***

POSITION DUTIES

Create and maintain Excel spreadsheets to log the following: a.��� 50 plus vendor monthly invoices to ensure they are received, accurate and submitted for payment. b.��� The 20,000 plus entries for three Voice over Internet Protocol (VoIP) Platforms to identify: i.��� The items to be billed to each agency. ii.��� A summary table that identifies the items billed by location. c.���� Purchase orders submitted to various carriers servicing the State to facilitate both: i.��� Requests in support of DoIT provided services. ii.��� Agency requests for non-DoIT supported locations. d.��� Assist the fulfillment of client Move, Add and Change (MAC) requests that require billing.� i.��� Writing and tracking a Statement of Work (SOW) when required to complete MAC requests. Collaborate with DoIT’s Intake Process Unit. ii.��� �Tracking the status of SOWs from request, through billing of the client. Assist the Director and other Voice Systems employees with placing orders that may entail calling in service tickets, investigating billing issues, and/or attending meetings with vendors. Contact vendor billing departments and request corrections when necessary.� Tracking of technician hours to ensure proper billing. �

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate. Experience: Five years of administrative staff or professional work. Notes: 1. Candidates may substitute 30 credit hours from an accredited college or university for each year up to four years of the required experience. 2. Candidates may substitute the possession of a Bachelor's degree from an accredited college or university and one year of experience in administrative staff or professional work for the required experience. 3. Candidates may substitute the possession of a Master's degree from an accredited college or university for the required experience. 4. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for- year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to the candidate who has one or more of the following. One year of intermediate experience using Microsoft Excel to track large volumes of data. Must be able to create pivot tables. Experience working with vendor/contractor billing. Working knowledge of contract management process.�

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.

BENEFITS

Contractual employees who work for an agency and have a current employment contract of 30 or more hours a week (or on average 130 hours per month) will be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits. Paid leave will accrue at a rate of one hour for every 30 hours worked.��
