We are actively recruiting qualified candidates for positions across multiple departments as Police Records Clerk. In this pivotal role, you'll be at the heart of our operations, meticulously extracting and inputting data from police officers' reports into our computer databases. Your work will encompass capturing crucial details about diverse crimes or incidents, including locations, times, property classifications, and information on suspects and victims. Your efforts will directly contribute to the creation of essential reports that support our department's mission. Under the guidance of a civilian supervisor, you'll thrive in a collaborative environment dedicated to upholding public safety and accountability.
Specialized duties across departments may include:
  • Processing requests submitted from the media, attorneys, and government agencies by reviewing reports for release and completing redactions of personal identifying information in accordance with Arizona Public Records Law, City Rules and Regulations, Police Department Operation Orders, and Bureau Procedures.
  • Performing specialized clerical work which involves receiving, processing, and maintaining information related to the City's Alarm Ordinance.
  • Assisting the public with records requests, fingerprints, processing traffic accident reports, and issuing oversize load permits.
  • Processing permit and renewal applications, notifying alarm users of false alarm activation's, and processing letter extracts.
  • Providing high volume customer service contact over the telephone and in-person, at times under challenging circumstances.
  • Responding to information requests from Phoenix Police and other law enforcement agencies.
  • Researching data that is maintained in department, state, and national law enforcement databases.
  • Conducting precise data entry and proficiently navigating diverse databases and software programs.
  • Proficiently managing payments, conducting account reconciliation, and updating payment records.
  • Assisting in the daily mail distribution to various city facilities.
  • Notifying alarm users about instances of false alarm activation's.
  • Coding data accurately into various computer databases.
  • Sorting and logging departmental and supplemental reports.
  • Maintaining consistent and punctual attendance.
  • Processing requests for background checks.
  • Rectifying any missing or incorrectly coded data.
  • Perform other duties as assigned.
Working schedule and location may vary depending on a department's specialized duty and assignment.
IDEAL CANDIDATE
  • Ability to type at a minimum of 30 wpm and work in a fast-paced environment that requires multi-tasking.
  • Willing to work in a 24/7 operation, including any shift/weekends/holidays.
  • Ability to operate a City vehicle in various areas within Metropolitan Phoenix to complete assigned tasks and must possess a valid driver's license.
  • Knowledge of various law enforcement databases (i.e., RMS, CAD, ACIC, NCIC, and ACJIS).
  • Knowledge of offense codes.
  • Knowledge and understanding of Police terminology.
SALARY
Pay Range: $19.54 to $33.41 per hour.
Hiring Range: $19.54 to $24.93 per hour.

MINIMUM QUALIFICATIONS
  • One year of clerical experience.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

  • Positions in the Police Department must meet the background standards that are appropriate to non-sworn positions. The general factors for disqualification are listed here .
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS
The minimum qualifications listed above, plus:
  • Experience providing customer service in a fast-paced environment over the phone and in person.
  • Experience with processing, reviewing, and fulfilling records requests.
  • Standing or sitting for extended periods of time.
  • Experience with electronic cashiering systems.
