Treatment Coordinator

Reports to: Practice Manager

Job Summary/Responsibilities

· The Treatment Coordinator is the contact person between patients and our office. Should consistently make a good impression and extend a warm welcome to new patients and their families. This person should exhibit exemplary team spirit and enthusiasm for the practice.

· The Treatment Coordinator is responsible for the smooth and organized operation of the front office.

· The Treatment Coordinator performs new patient examinations and consultations with the doctor and makes case presentations.

Ensure the new patient experience is enjoyable every time.

· Conservative, professional dress, grooming, hairstyle, and makeup are appropriate attire for this position.

Duties include:

• Sets up treatment rooms for all new patient exams
• Welcomes new patients/parents promptly with a warm smile
• Responsible for ensuring new patient info was correctly entered upon scheduling, all paperwork is complete, accurate, and HIPAA compliant
• Takes x-rays as needed.
• Performs new patient examinations and consultations with the doctor, makes case presentations, gives accurate pricing based on treatment plan, presents payment options, and finalizes treatment contracts. Often, this involves investigating insurance benefits available to the patient and educating the patient as to how insurance coverage applies to orthodontics.
• Provides completed insurance paperwork to financial coordinator for prompt submission and billing.
• Keeps accurate records of all contracts, fees, referrals, and other important information.
• Educates patient and family re: diagnosis, treatment plan, and benefits of treatment. Answers questions parents may have about treatment.
• Responsible for communication and correspondence with other dental offices re: exam findings, treatment plan, treatment progress, etc.
• Performs office public relations activities.
• Represents the practice in a positive way inside and outside of the office.

• At least 1 year of orthodontic treatment coordinating experience is preferred.
• Enthusiastic, professional demeanor at all times
• Ability to organize time and tasks to complete work on schedule
• Familiar with orthodontic terminology, treatment, and procedures; able to answer questions patients and parents may have in the course of treatment
• Excellent communication and written skills; good memory of names and faces
• Have excellent public relations skills
• Ability to work well with team
• Experienced in delivering high-level customer service
• Excellent computer skills including Microsoft Word, Excel, Teams, and Outlook
