SUMMARY:

Keeps official financial records and executes administrative policies. Posts customer payments to Accounts Receivable, maintains A/R records; as well as compiles and maintains accounts payable records. Serves as point person for all receivable and payable inquiries by performing the following duties:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Monitors loans and accounts payable and receivable to ensure that payments are up to date.
  • Completes daily deposits.
  • Establishes General Ledger Codes for input into financial database system according to established CSI procedures and enters data.
  • Runs invoices daily and mails to customer within 24 hours of shipment.
  • Prepares invoice deduction notices as necessary.
  • Researches and processes Credit Memos and RMAs.
  • Reconciles freight bills against freight manifests.
  • Prepares accounts payable checks.
  • Prepares all accounts receivable and accounts payable reports and maintains all files.
  • Prepares analysis of accounts, as required.
  • Reconciles bank spreadsheet on a daily basis.

  • With General Operations Manager, reconciles report discrepancies and problems.
  • Does all journal entries for monthly closings; including responsibility for monthly financials distributed to General Manager, owner, and CPA of CIL.
  • Records and keeps spreadsheets updated for all accounts accrued on a monthly basis.
  • Opens incoming mail and distributes to appropriate team members as well as assures all outgoing mail and correspondence are available for pick up within established time frames.
  • Orders and maintains office supplies and arranges for office equipment maintenance.
  • Manages phone system and assures that general voice mail message is current and appropriate.

SUPERVISORY RESPONSIBILITIES:

This job has no direct supervisory responsibilities.

EDUCATION and/or EXPERIENCE:

Associates degree (A.A. or A.S.) from two-year college in business, accounting or related field, with one to two years-related experience and/or training; or equivalent combination of education and experience. Must be familiar with

Accrual-Based Accounting.

LANGUAGE SKILLS:

Ability to read and interpret documents such as operating and maintenance manuals and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to visitors, customer, vendors and other employees.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

  • Computer and Internet abilities.
  • Must enjoy dealing with the people and not be distracted by constant interruptions.
