Meditech Communications is a full-service media production agency specializing in motion design, video production, 3D animation and interactive development for medical device and healthcare organizations. We are searching for a highly-organized, detail-oriented and proactive Project Coordinator with 4 years’ experience to join our team. The Project Coordinator will facilitate the development of a variety of creative projects for clients, and spearhead internal marketing initiatives to showcase Meditech’s latest work and business offerings. The successful candidate will partner with our internal teams to determine project needs and scope, and track progress throughout production to ensure all deliverables meet both creative and business requirements.

Responsibilities

· Support the Project Management Team throughout the full project lifecycle, including: SOW development, timeline creation, task delegation, change-of-scope documentation, and general project oversight.

· Participate in client discovery and progress meetings, documenting key takeaways and action items for all parties.

· Utilize an online project management system to track client needs and coordinate resources to deliver content according to scope and timelines.

· Manage and update content for Meditech’s social media platforms and blog.

· Support the video team with pre-production activities, such as: identifying and booking shoot locations, sourcing on-camera talent, developing talent call sheets, etc.

· Assist in the coordination of outside vendors, contractors and associated documentation.

· Participate throughout a project's quality assurance cycle (revision and approval processes) to ensure that the final product meets the expectations of the original project requirements.

· Assist in administrative tasks, such as: developing proposal templates for all services, completing project closure and backup procedures, organizing shared folders and files, purchasing stock music and assets, etc.

Qualifications/Experience:

Minimum of 2 years’ project management experience, preferably in a creative services agency or marketing communications department.

Ability to work in a fast-paced, self-directed team environment and effectively communicate and manage multiple clients and stakeholders.

Confidence in working directly with clients to analyze needs and provide solutions. Ability to prioritize and balance multiple projects with minimal direction

Excellent written and verbal communication skills.

Experience with media and interactive/internet technologies a plus

Experience in the medical or healthcare fields a plus

Requirements:

Must be proficient using Microsoft Office applications

Proficient in Adobe Acrobat, experience with Creative Suite is a plus.

Project management software experience

Proficiency using both PC and Mac computers.

Education: Bachelor's degree
