Job Description
$26.83 - $40.97 Hourly
Note : The normal starting pay for this position is the minimum of the pay range listed above. A higher rate of pay may be considered, dependent on the qualifications and experience of the selected applicant and/or the City's step placement policy.

JOB SUMMARY
This job classification is located in the City Council Office of the City of Oklahoma City and reports to the City Council Chief of Staff. This classification will provide advanced level administrative support and knowledge to the programs and projects impacting residents of the City of Oklahoma City.
ESSENTIAL JOB FUNCTIONS
  • Assists in the preparation and update of the youth council contract, reviews quarterly reports, processes reimbursement submissions, and assists in scheduling class days and speakers.
  • Processes noise permits with recommendations from zoning police.
  • Serves as liaison for the Teacher of the Month Program by communicating information to school districts.
  • Coordinates all council travel, prepares council travel resolutions, arranges flights accommodations, arranges hotel accommodations, compiles travel packets, and prepares timely and accurate travel reimbursements.
  • Assists with Town Hall meetings by selecting meeting locations, extending invitations, and confirming speakers.
  • Assists with swearing in activities for new council members, schedules orientations for new council members, and schedules required council member trainings.
  • Assists with council briefings, workshops, agenda development, and event location.
  • Assists with office operations such as purchasing of general office supplies, council staff development, annual budget preparation, payroll, financial reports, and all software applications.
  • Assists with research on a variety of subjects based on Council projects.
  • Performs other duties as assigned.
VETERANS PREFERENCE
Honorably discharged veterans of the United States Active Duty Armed Forces, National Guard, and Reserve Forces who are not currently employed full-time by the City of Oklahoma City and who meet the qualifications for the position shall be given preference. To receive preference, veterans must submit verification of honorable discharge from the United States military service (Department of Defense Form DD214 or NGB Form 22) prior to the closing date of the vacancy announcement.
MINIMUM QUALIFICATIONS
  • Associate's degree in Business Administration or in a similar field of study.
  • Minimum of three (3) years' experience in a senior administrative role.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of and skill in applying administrative practices and office operations.
  • Knowledge of Municipal Council practices and procedures.
  • Knowledge of functionally related codes and regulations.
  • Skill in the use of computer applications such as Microsoft Word, Access, and Excel to develop, maintain, and produce professional reports, create spreadsheets, and analyze data.
  • Skill in managing payments, budgets, and expenditures.
  • Skill in written and verbal communications.
  • Ability and willingness to establish and maintain effective working relationships.
  • Ability to apply principles of logical thinking to solve practical problems.
  • Ability to plan, schedule, and oversee office related events.
  • Ability to work independently, make work related decisions, and to assume responsibility for decisions made.
  • Ability to work with very sensitive and confidential information while maintaining the highest degree of confidentiality.
  • Ability to travel.

SAFETY SENSITIVE STATUS
This job classification has not been designated as a safety sensitive job classification in accordance with the Oklahoma Medical Marijuana and Patient Protection Act, 63 O.S., ยง 427.1 et seq., (OSCN 2019), effective August 29, 2019.
WORKING CONDITIONS
  • Inside most of the time, subject to sitting, standing, walking, or using a telephone for extended periods of time.
  • Outside occasionally, may be exposed to heat, cold, humidity, rain, etc.
  • Occasionally required to work hours beyond normal working hours.
  • Occasional out-of-town travel for seminars, meetings, etc.; some local travel required.
Note : Typical City employee working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. However, working hours vary (may require work to begin before 8:00 a.m. and/or end beyond 5:00 p.m., and/or may require work on weekends and holidays), and are subject to change, based on the duties and location of the position and the business needs of the assigned work unit/department.

Pay Method: City employees are required to receive pay electronically, either via direct deposit or pay card.

Background Investigation, Drug Testing, Physical Examination: Upon a conditional offer of employment/acceptance of position, the City of Oklahoma City will conduct a criminal history background check for external applicants.
