Were looking for a motivated real estate executive assistant to assist the principal broker and complete administrative tasks. Responsibilities include liaising between the managing broker and clientele, screening messages and notifying the broker of important information, and overseeing schedules and travel arrangements. Youll also be responsible for organizing office records and customer data, ordering office equipment, and completing other administrative tasks as needed to support the team. Responsibilities:
Input information received about clients through streamlined database management
Schedule meetings, travel itineraries, and any other relevant appointments for broker
Pay and input invoices on a regular basis for the broker
Execute office management tasks such as systematizing office records, and buying office equipment
Support the real estate office as needed with other assistant duties, such as picking up orders

Administrative Responsibilities:
Efficiently coordinate and manage the entire spectrum of real estate transactions, from initial listing to successful closure, while maintaining meticulous documentation.
Oversee scheduling, calendars, reporting, and communications, streamlining administrative processes for optimal efficiency.
Collaborate seamlessly with clients, vendors, and stakeholders to ensure smooth communication and streamlined transaction flow.
Exercise meticulous database management, ensure organized client information and relevant records.
Additional Responsibilities:
Champion staff development, ensuring they create remarkable client experiences daily.
Spearhead lead generation systems, including special accounts for banks and other specialized avenues.
Act as the central hub for managing agent personal business, calendars, schedules, and emails.
Lead effective office coordination, both for existing structures and seamless integration of new ones.
Execute daily tasks with precision, ensuring timely completion and operational fluidity.
Design and implement systems that guarantee a steady influx of leads into the company.
Envision, plan, and implement necessary systems and structures to accommodate anticipated business growth.
Provide detailed weekly reports on team activities, offering innovative solutions and forward-looking suggestions.
Contribute to the development of significant deals, leveraging your expertise to maximize opportunities.
Qualifications:
Familiar with Microsoft Word, Excel, and Multiple Listing Service
High school diploma or equivalent required
2 years experience as a personal assistant, office manager, or related position
Prior experience in real estate is a bonus
Possesses discernment for working with confidential information and tight deadlines
Active real estate license in Texas.
Proven track record of 2 years in the real estate industry, showcasing both leadership and sales excellence.
Strong organizational prowess with an innate ability to juggle tasks and priorities seamlessly.
Exceptional communication and interpersonal skills, exhibited through articulate written and verbal abilities.
Proficiency in real estate software, tools, and Microsoft Office Suite.
History of successful leadership and team management, with a demonstrated capacity to motivate and inspire.
Aptitude for creative problem-solving and adaptability in fast-paced settings.
