We are looking for an in-house Reconciliation Clerk to play a key role in our finance team. This position ensures the accuracy and integrity of financial transactions specific to our Direct-to-Customer (DTC), e-commerce, and retail store operations (including franchise). This role involves reconciling sales data, verifying transaction accuracy, resolving discrepancies, and preparing financial reports to support the organisation's overall financial health. Key Responsibilities:

  • Account reconciliation: Perform daily, weekly, and monthly reconciliation of DTC, e-commerce, and retail store sales transactions against bank statements, credit card accounts, and other financial records.
  • Sales Data Verification: Review and verify sales data from various platforms (e.g., Shopify, Amazon, and physical retail stores) to ensure accuracy and completeness.
  • Discrepancy Resolution: Identify and investigate discrepancies between sales records and financial statements, coordinating with relevant departments (e.g., sales, IT, customer service) to resolve issues promptly.
  • Refunds and Chargebacks: Monitor and reconcile refunds, returns, and chargebacks, ensuring proper documentation and resolution.
  • Report Preparation: Generate detailed financial reports and summaries specific to DTC, e-commerce, and retail operations for management review.
  • Compliance: Ensure all reconciliation activities comply with company policies, accounting standards, and regulatory requirements for e-commerce and retail operations.
  • System Updates: Assist in updating and maintaining financial systems and software for DTC, e-commerce, and retail reconciliations.
  • Process Improvement: Identify opportunities to streamline reconciliation processes and suggest improvements to enhance efficiency and accuracy specific to DTC, e-commerce, and retail environments.
  • Communication: Communicate effectively with internal teams and external partners to facilitate reconciliation and resolve issues.
  • Audit Support: Provide requested documentation and explanations related to DTC, e-commerce, and retail transactions to support internal and external audits.

Qualifications / Experience:

  • Proficiency in Microsoft Excel. Ability to use formulas, formatting, validation, and lookups across multiple data sources.
  • Strong analytical and problem-solving skills.
  • Attention to detail and high level of accuracy.
  • Excellent organisational and time management abilities.
  • Effective communication and interpersonal skills.
  • An omnichannel background is desirable but not an essential
  • Familiarity with e-commerce platforms (e.g., Shopify, Amazon) is beneficial but not a necessity.
  • Certifications (e.g. ACCA, CIMA) are valuable but not a requirement.
