Enica Engineering is Hiring a Projects Coordinator Near New York, NY

Enica seeks a driven candidate with experience in project management, staff oversight and PM-training to provide support services to our project managers and execution team. 

This is a key role within our organization requiring you to coordinate with technical and management staff daily. The objective of this role is to drive consistency in our organization and the management of our work, train project management staff, and keep our project management methodology up-to-date and well documented.

The Project Coordinator role has five major components among their daily duties:

Reporting & Data Analysis

You will be responsible for the timely and accurate production of reports ranging from company-level to individual and project performance. You will be accountable for the accuracy of the output from these reports and responsible for communicating the reliability of the input data.

Actions you will be required to take on these reports are discussed below. Regular reporting duties will include, but not be limited to:

  • Creating actionable reports when a problem or unanticipated efficiency surfaces
  • Continuous improvement and evolution of regular reports
  • Producing the following reports and communicating the takeaways to stakeholders
    • Revenue Backlog report – Weekly
    • Work backlog report – Weekly
    • Project Initiation Report – Weekly
    • Revenue Report – Monthly
    • % Complete – Monthly
    • Revenue Recognition Report – Monthly
    • Project Finances Summary Report – Monthly

The Coach

The prerequisite to success in The Coach role is something that needs to be a focus point as it is not a learned skill – it is a personality trait. That prerequisite is the need for continuous alignment with the corporate direction and the surfacing of problems and constraints from the execution team to leadership. Without this close collaboration and communication, you will be coaching in the wrong direction.

There are two facets of coaching – solicited and unsolicited.

Solicited coaching is provided when someone asks for help, asks a question, or tells you what they intend to do. This is the time when you will provide assistance, training and guidance on an individuals work to ensure successful outcomes as it relates to project management and delivery.

Unsolicited coaching is provided when an individual is new to the team. This type of coaching is more programmatical in nature and takes the form of training, typically containing components including a class, workshop, homework, a test, and practical on-the-job work. Training will be provided to new employees, employees embarking on a new role, and whenever new programs or procedures are created, or existing programs are altered. Another form of unsolicited coaching occurs when a systemic problem is surfaced in the organization. This will result in a new or altered process as discussed above, and you will coach the team on that change; but you will also coach leadership of what additional changes need to be made to achieve success – i.e. coaching up.

The Cop

The Cop is the role most individuals struggle with, so it must be discussed upfront. As a Projects Coordinator, you will not have direct authority over individuals on the execution team, but you are mutually responsible for their success. To be successful in this role, you will need to analyze reports and take deliberate action to communicate shortcomings directly with those individuals. You must also be an investigator and continuously question the validity of project data and delivery timelines. Sometimes you will be successful, but when you are not you must escalate the issue to project leadership or individuals’ supervisors. If you don’t do this, bad results compound and bad behaviors are reinforced.

Auditing projects is another proactive step you will take in this role. In this case, facilitating the audit is the job of The Cop while judgement falls on those accountable for projects’ and individuals’ performance.

The most critical aspect of the role is that of the liaison between execution and leadership. The Cop is the canary in the coal mine. Without this role in place, we would be assuming everything goes perfectly at all times which is unrealistic.

Running the Engine

The following list of regular tasks are all items you will be fully accountable for. However, your role is not to perform these tasks in perpetuity. Your role is to maximize the efficiency of executing many of these tasks – assigning the majority of workload on others while providing 100% coverage on QC oversight of them.

  • Track project activity checklists
  • Provide templates to PMs
  • Provision and configure project setups
  • Aggregate project data
  • Support and track all project activities through the 5 phases of the projects’ lifecycle including: Initiation, Planning, Execution, Monitoring & Control, Closure

SME on our ERP platform (Ajera)

Enica uses a combined accounting and project tracking software for the majority of our business functions. Our system rolls up project data to the accounting books making the books particularly sensitive to errors make in project data entries. To mitigate these issues, project data needs to be correct, so your success in this role relies on you becoming an expert in our ERP and collaborating closely with our accounting department on a regular basis to ensure things are going smoothly.
