Title: Special Events Assistant
Classification: Full-Time Regular
Pay Range: $50,000 - $53,500 annually
Reports to: Director of Special Events
Department: Development
Location: New York, New York / Remote Hybrid (at least 3 days/week in the 2ST offices)

At Second Stage, we create and champion plays and musicals solely from living American writers. On our mainstage Broadway theater, the Hayes, and in our two Off-Broadway theaters over the past 45 years, we have developed and presented over 200 daring and provocative theatrical experiences by working with countless artists who have contributed their talents to our award-winning productions. As the only Broadway company exclusively devoted to living American writers, Second Stage is dedicated to introducing the world to bold and diverse voices of American creativity.
Position Overview
Second Stage Theater seeks a Special Events Assistant to provide general and specialized support to the Special Events team within the larger Development Department at one of New York's premier not-for-profit theater companies. Development is responsible for raising funds to support the organization's award-winning artistic programming.
The Special Events Assistant is a core member of the Development team and reports to the Director of Special Events. They will assist in the planning and execution of all fundraising events, including the annual Gala and All-Star Bowling Classic, as well as all Opening Nights, donor stewardship events, and Board events.
Essential Duties & Responsibilities
  • Manage event supply needs and inventory
  • Generate and maintain Special Events invite lists, RSVPs, follow-ups, and confirmations
  • Coordinate solicitations of in-kind donations and sponsorship prospects
  • Process all Special Events-related gifts in the donor database and draft gift acknowledgements
  • Research event attendees and sponsors and generate event face books
  • Research event venues and vendors
  • Correspond and maintain relationships with donors, including Board members and high-level donors
  • Brainstorm and facilitate new fundraising opportunities
  • Represent the Development Department at fundraising and cultivation events
  • Work with the Director of Special Events and Special Events Manager on organizing solicitation efforts, Special Event performance ticketing, and cultivation event execution
  • Perform other duties to support the Development department, as assigned

Requirements

  • At least 1 year of internship or professional experience in fundraising, preferably in events and/or nonprofit
  • Excellent verbal and written communication skills, strong attention to detail, and the ability to exercise good judgment and decorum in all interactions
  • A positive attitude, concern for other people and community, presence, self-confidence, and the ability to listen
  • Excellent time management skills along with ability to work independently and collaboratively
  • Computer experience including Microsoft Office suite
  • Knowledge of nonprofit database software preferred (Tessitura experience strongly preferred)
  • Ability to work evening and weekend hours, as required

Work Environment
Time will be spent in an office with quiet to moderate noise level and occasionally in the theatre with often loud and amplified noises. The office environment requires using the computer, phone, and other routine office equipment. Majority of the work will be performed inside at room temperature.
Physical Requirements
Position requires long periods of sitting. While sitting in the office, employee is required to use hands, wrists, and fingers for keyboard and other office equipment. The employee may often use stairs throughout the day and walk throughout the theatres.
Hours of Work
Second Stage's working hours are 10 AM to 6 PM. Hours may also include nights and weekends, as assigned.
