Job Overview:
The GIA Museum boasts an impressive collection of more than 60,000 gems, gem minerals, jewelry, carvings, antique gem equipment, organic and synthetic materials, and artwork. This collection is used extensively by researchers and instructors for study and teaching. Furthermore, pieces in the collection are frequently photographed and videotaped for educational course material and marketing purposes.
The collection also provides specimens for the more than 150 exhibits spread throughout the campus that support and inspire students in GIA's gemological and jewelry arts programs. Many exhibits are also complemented by exceptional objects borrowed from other museums, private collectors, and companies in the gem and jewelry industry. Additionally, the museum benefits from in-kind gifts and handles all of the documentation associated with the donation process for GIA globally. The museum exhibits attract alumni, guests of GIA, and the general public who visit through scheduled tours.
The Museum Manager (MM) is an experienced gemologist/mineralogist who is responsible for identifying and handling high-value gems, minerals, and jewelry. They are detail-oriented, highly organized, and possess exceptional customer service skills necessary for interacting with donors, lenders, staff, industry professionals, and the public. The MM must be trustworthy and show good judgment when handling confidential and sensitive information. Reporting to the Curator of Collections, the MM works closely with the Curator to manage the museum's collection and supervises or facilitates the processing of new acquisitions, loans, and donations. They assist with collection stewardship, financial reporting, insurance coverage and compliance with GIA and museum policies. Management duties extend to include collection infrastructure, databases, storage facilities and exhibits.
Responsibilities:
  • Catalogs items into the Museum's Collection, Loan, and Research databases, updates existing records, and maintains the integrity of records.
  • Maintains the physical collections ensuring excellent stewardship, care, and preservation at levels that meet or exceed Museum standards.
  • Systematically photographs collection specimens and loaned items and uploads them into their respective databases.
  • Prepares monthly financial reports on the collection holdings and undergoes periodic museum audits.
  • Manages in-kind giving program (donations) for all departments (Museum, Education, Library, Research) in all GIA locations. Prepares documentation for the IRS.
  • Manages incoming and outgoing loans of specimens internally and externally. Communicates with lenders and borrowers, prepares loan agreements, and ensures documentation of insurance coverage.
  • Selects specimens for study, teaching and photography by researchers, instructors, course designers and the marketing division.
  • Cultivates relationships with donors, lenders, collectors, and dealers.
  • Assists with the creation, installation, cleaning and maintenance of GIA's ~150 exhibits.
  • Able to write and edit exhibit text.
  • Travels domestically and/or abroad to represent GIA at industry tradeshows and other special events; assists with setting up and disassembly of exhibits.
  • Assumes all curatorial duties and responsibilities in the absence of the Curator.
  • Provides exhibit tours on occasion to guests, donors, and industry VIPs.
  • Provides subject matter expertise to other departments (Marketing, GemKids, on occasion).
  • Supervises the Coordinator of Museum Relations (Visitor Experience Department) and participates in promotional and outreach activities.
  • Conducts research to determine display needs; handles ordering special display components and other collection supplies.

Technical Competencies (Knowledge, Skills & Abilities):
  • In-depth knowledge of geology, mineralogy, and gemology.
  • Expertise in identifying gemstones and related items and determining whether the quality and documentation meet the standards for inclusion in the Museum collection.
  • Knowledge of handling, storage, and preservation of gems, minerals, jewelry, and sensitive organic items.
  • Familiarity with advanced mineral characterization techniques and data interpretation.
  • Maintains a high level of confidentiality, has excellent judgment and customer service skills.
  • Excellent communication skills verbally and in writing.
  • Excellent organization skills.
  • Familiarity with Museum Policies and Procedures and security issues.
  • Comfortable with entering, processing and accessing relational database information.
  • Must be willing to travel domestically and internationally.
  • Able to work occasional evenings and weekends.
  • Excellent interpersonal skills, ability to set and adjust priorities, and manage multiple tasks.
EDUCATION AND EXPERIENCE
  • Bachelor's degree (or higher) in Geology, Earth Sciences, or related field.
  • Graduate Gemologist and/or FGA or equivalent diploma required or be willing to obtain the credentials.
  • 7 years working with a mineral museum collection or equivalent in education and experience..
Physical Requirements / Work Environment
  • Work is performed in a designated professional office, the collection room, exhibit spaces throughout GIA and at trade and public shows.
  • Extensive use of office equipment, including computer, calculator, copier, scanner, and other business-related machines and software.
  • Must be able to lift or move specimens and equipment weighing 50 lbs.
  • Work will involve "dirty work" of cleaning specimens, storerooms and exhibits, along with extensive packing and unpacking of crates.
  • Standing and walking for extended periods are often required..
