Job Summary:We are currently seeking a detail-oriented and organized Professional Development (PD) Assistant to support JL’s PD and Learning Team’s administration and operational details, including expense reporting, invoice processing, updating budget, organizing electronic files and spreadsheets, scheduling meetings, coordinating travel arrangements and coaching engagements, drafting meeting minutes and regularly handling other administrative responsibilities for the team.
Essential Functions
  • Assist PD & Learning team members with JL Academy (and related platforms such as Workday, Litera/Micron CE Manager, LinkedIn Learning, and JLink) administrative operations, including logistics, learning management system administration, budgeting, and metrics reporting.
  • Assist in managing the invoicing process for PD & Learning team agreements, ensuring accuracy and timeliness in payment.
  • Maintain detailed records of payments and expenses, tracking budgets and reconciling accounts as needed and adhering to the firm’s expense reporting policies and systems.
  • Assist PD team in administrative tasks needed to support all JL Academy training programs for all JL employees, including any Special Academies, live classroom training and group webinars, and compliance programs.
  • Support JL Academy internal training programs by helping compile training materials, assisting with distribution of program materials and related administrative tasks before and after PD programming or projects.
  • Collaborate with other Talent Team members and members of the firm’s Business Services departments.
  • Explore technical solutions to leverage technology and promote efficiency with team processes.
  • Assist in other administrative responsibilities as needed for the Professional Development and CLE Teams.
  • Assist with communication efforts to engage with various stakeholders, including email correspondence and follow-up.
  • Maintain PD & Learning team databases
  • Maintain NetDocs file management system with accurate and complete records
  • Assist with attorney and other employee orientation programming as necessary
Qualifications/Skills Preferred
  • Minimum of two years of related professional development or executive administration experience in a law firm or other professional services environment
  • Proficiency in using databases and Office 365 productivity apps (Word, Excel, PowerPoint, Outlook, OneDrive, Teams); proficiency in other technical skills, Canva, Smartsheets, SurveyMonkey and other applications a plus
  • Possesses strong organizational and time-management skills, including the ability to prioritize projects and meet deadlines; excellent written and oral communication skills, ability to work independently and be proactive
  • Experience in WORKDAY a HUGE plus
  • Establishes and follows needed procedures
  • Able to handle multiple responsibilities simultaneously, manage deadlines and work well under pressure
  • Demonstrates interest in learning and developing technical and professional skills
Educational Requirements
  • Bachelor’s degree required.
For Westchester County, the expected hourly wage range for this position is between $27.00 and $31.00. The actual compensation will be determined based on experience and other factors permitted by law.
