Job DescriptionREAL ESTATE BACK OFFICE ADMINISTRATOR
Company: eBizNet International Realty, LLC
We are currently seeking a meticulous Real Estate Office Administrator to oversee our daily operations, supervise Sales Agents and optimize business efficiency. The ideal candidate will manage Real Estate transactions from initiation to completion, encompassing tasks such as:
  • data entry,
  • file preparation,
  • client communication via phone and email,
  • coordination of home inspections, and ensuring timely follow-up.
This role demands strong communication,
  • multitasking, and organizational abilities, along with –- proficiency in working within a fast-paced environment.
  • Our preferred candidate is an experienced Real Estate Office Administrator, adept at problem-solving and a collaborative team player.
  • RESPONSIBILITIES:
Perform a broad range of administrative tasks for assigned staff including but not limited to - phone support,
  • draft, preparation and distribution of correspondence,
  • expense reporting,
  • calendar and scheduling,
  • meeting coordination,
  • filing and copying.
Monitor office expenses, conduct basic bookkeeping and manage the monthly budget.
Provide support to other realty departments as needed.
Procure office supplies and maintain office equipment.
Coordinate team meetings, appointments and travel arrangements.
Manage the maintenance, procurement, and installation of all office equipment.
Offer comprehensive back-office support by overseeing seller/buyer systems, internal databases, and lead generation.
Maintain and update listing and sale filing systems.
Demonstrate strong administrative skills to effectively manage daily operations.
Attend the office when required ( 9:00 AM - 5:00 PM ); oversee the majority of weekly activities remotely.
Manage Real Estate transactions from initiation to completion.
Perform data entry and prepare files.
Communicate with clients via phone and email.
Coordinate home inspections and other necessary appointments.
Follow up with clients and other involved parties.
Monitor emails and provide prompt responses.
Deliver exceptional customer service.
Be available to work weekends occasionally, if necessary.
QUALIFICATIONS:
Excellent communication skills.
Strong multitasking and organizational abilities.
Ability to work efficiently and effectively.
Prior Customer Service Experience Preferred.Basic technical proficiency.
Effective prioritization skills.
Availability for Full-Time Position.
ADDITIONAL QUALIFICATIONS:
Exemplary problem-solving, communication and time management skills.
Proficiency in Microsoft Excel and Word.
2 years of experience in office management, real estate or related field strongly preferred.
Client-focused approach.
Ability to remain composed under pressure.
Independent and self-motivated, with successful team collaboration skills.
