Ponzi Vineyards has recently been acquired by French family wine group Bollinger (Champagne Bollinger, Champagne Ayala, Burgundy wine Chanson, Loire Valley wine Langlois Chateau, and Cognac Delamain), with the ambition to make it the top-of-mind brand for Oregon fine wine.
We are a premium Oregon Pinot Noir and Chardonnay producer located just 22 miles from downtown Portland in the Chehalem Mountains / Laurelwood District AVAs.
As the Tasting Room & Private Client Supervisor, you will play a crucial role in driving Ponzi Vineyards’ direct sales program, while creating memorable experiences for our guests.
You will bring your expertise in sales and hospitality to oversee a vibrant private client program as well as leadership skills to supervise the Tasting Room team and ensure clients are receiving personalized, unparalleled service.
This critical leadership role reports directly to the Hospitality Director.
The ideal candidate has a proven track record with 3 years of hospitality and sales experience.
Essential Job Functions :
- Accountable for achieving set monetary goals & sharing monthly reports.
- Point person for Hospitality & Sales incoming and outgoing texts through Red Chirp platform.
- Lead for large sales campaigns from creation to execution and fulfillment.
- Sole user for individual text campaigns event ticket sales, library offers, last-item offers.
- Responsible for monthly review of RFM analytics and client plan, executing strategic actions to improve performance and capture sales.
- Assist with oversight of Hospitality customer journey, consulting with Chief Brand Officer and Hospitality Director to develop and deliver the Ponzi experience.
Tasting Room Responsibilities
Tasting Room Client Engagement :
- Creating, printing, and implementing personalized menus for Tasting Room reservations
- Personalizing experiences for VIP guests and special celebrations
- Contact reservations ahead of time to upsell, ensure personalized touches, confirm reservations, map logistics with Hospitality Director with goal to improve Google ratings and club sign ups.
- Work with Hospitality Director to continually analyze hospitality practices in the Tasting Room and Events realms to ensure a seamless and engaging brand experience, leading to higher sales returns and increased customer loyalty, measured by club retention improvements, club sign up increases, higher AOV.
- Work with Hospitality Director to build new ways to host VIP consumers separately from regular tastings to deliver bespoke Ponzi brand experiences.
Staff Leadership :
- Responsible for ensuring daily sales goals are met in the Tasting Room during days assigned as Supervisor.
- Keeping TR team operating as a unit and holding accountability for following SOPs
- Keeping brand standard accountability
- Ensuring that daily, weekly, monthly, and seasonal training with TR staff is planned with Sales & Education Lead
- Making sure the membership welcome cards are being stamped and sent out on a regular basis.
- Assigning weekly Annex Person to help Wine Club & DTC Operations Manager reconcile and arrange inventory.
Procurement :
- Tasting room toiletries
- Bags & tissues
- Tasting Room collateral : business cards, newsletter sign up cards, special events handouts, signs, tasting for two business cards
- Tasting room materials project management
- Glassware (water glasses, water bottles)
- Napkins and tablecloth orders
- Vests & uniform needs
- Pens
- Argon gas for Coravin
Logistics :
- Merchandise upkeep and inventory
- Checking quarantined orders in Commerce7
- Reconciling Tasting Room shipping issues and customer order errors
- Gift cards reconciliation
- Menu changes & upkeep : daily / weekly
- Maintain POS system on C7, consulting with Wine Club & DTC Operations Manager to create new SKUs as needed.
- TOCK Management and reservation oversight
- Coordinating with Hospitality plant partner
- Implementation of consumer events with Hospitality Director
- Ensuring operational needs in Tasting Room are accomplished :
- Washing blankets
- Inventory management of Vault
- Will Call wine for TR
- Foil & cork recycling
Requirements and Experience :
- 3 years hospitality management experience.
- People management skills are a must.
- Proven track record in mentoring, supervising, and developing staff.
- Proficient in MS Office Suite, Commerce 7 or other winery POS software, Tripleseat, and TOCK.
- Exceptional written and oral communication skills.
- WSET level 2 or higher is a plus.
- Must be 21 years of age of older.
- Must be able to stand for 8 hours as well as lift and carry up to 50 lbs.
- Ability to work weekdays / weekends 9 : 00 am 5 : 30pm, with flexibility to work occasional holidays and evenings.
