PURPOSE:
Under the general direction of the Associate Dean for the College of Extended Education and International Programs, the Education Abroad Advisor performs complex professional student services work to recruit, advise, support and enhance the experience for outgoing education abroad students. The Education Abroad Advisor coordinates all Education Abroad activities, which include but are not limited to: International Exchange, National Student Exchange, and Faculty-Led. The Education Abroad Advisor is responsible for the promotion and growth of high quality, high-impact education abroad experiences for all CSUMB students. The Advisor maintains up-to-date knowledge of current global events and occurrences.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
Recruitment and Advising: The Education Abroad Advisor conducts outreach across campus to promote awareness of, and participation in a full array of Education Abroad and National Student Exchange Programs with organizations such as College Support Programs and other on campus organizations; organizing Education Abroad fairs, leading large-group information sessions, classroom presentations and scholarship info sessions.
Advises individual or group advising for students on the full array of Education Abroad and National Student Exchange options for semester, academic year, winter or summer programs. The advisor maintains knowledge of comparative systems of international education, international credit transfer, and factors critical to student success and well-being while abroad, such as cultural adjustment. Advises students on program and course selection utilizing an in-depth knowledge of CSUMB's curriculum, degree requirements and academic policies to ensure accurate and proactive advising for students; advises students on academics/personal goals, health & safety issues and inter-cultural competency. Promotes study abroad scholarship opportunities and applications to including the following opportunities: Gilman, Boren, Freeman Asia, etc.
The advisor independently; evaluate criteria for student participation in study abroad programs, and works with the Education Abroad Analyst to coordinates nominations, application and approval for programs. Processes academic approval forms, ensures compliance with requirements and policies, and maintains accurate and up-to-date student records through the use of AirTable, Horizons and OASIS. Works with Risk Management on CSU foreign travel insurance for all students, collaborates with campus partners to coordinate efforts for study abroad success. Conducts pre-departure orientations, visa workshops, and specialized sessions based on general student travel.
Monitoring Students while Abroad or on National Student Exchange: The Education Abroad Advisor ensures students maintain enrollment status at CSUMB, and at the partner institution in order to maintain Financial Aid eligibility. Works closely with campus partners to problem solve academic issues that may arise and in support of a successful student experiences. Maintain advising interactions with students while abroad via e-mail, and zoom to ensure successful program participation, for cultural learning and experiencing of culture shock. Updates and maintains program and student data in AirTable and OASIS, run reports and queries, as needed to assist in student monitoring. Ensures students are able to use CSU foreign travel insurance and in coordination with the CSU foreign travel insurance program, confirms the safety of students in case of overseas incident.
Re-entry Programming: Documents and ensures students receive official transcripts from partner institutions upon completion of program, and that transfer credit is posted correctly. Assists and provides support to students with re-entry services related to; housing, course registrations, and student life services/events. Advise students on reverse culture shock and issues that may arise after return to the U.S. Coordinates the collection and analysis of study abroad data to generates reports. Surveys students to gathers data on the student experiences at partner universities. Organize promotional, recruitment materials and events for student ambassadors and the Buddy Program, recruits and supervise student assistants.
Other Functions:
Performs other job-related duties and special projects as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
Thorough knowledge of the principles of individual and group behavior. General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the disability services in higher education; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of CSUMB. Working knowledge of student services programs outside the program to which immediately assigned.
Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student-related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.
MINIMUM QUALIFICATIONS:
Experience:
Possession of these knowledge and abilities is typically demonstrated through the equivalent of three years of progressively responsible professional student services work experience. One year in the program area to which assigned may be preferred but is not required.
A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.
Education:
Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.
SPECIALIZED SKILLS REQUIRED:
Must possess excellent customer service, critical thinking skills, written and communication skills. Thorough knowledge of office systems and the ability to use a broad range of technology, systems and packages. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above.
PREFERRED QUALIFICATIONS:
Experience in study abroad promotion and coordination with experience in articulation of student credits from overseas. Knowledge of CSUMB graduation requirements and Title V and CSU degree requirements. Fluency in a foreign language. Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student information system; CASHNet; Hyperion or similar report generation software; Microsoft Office Professional Suite, and Google mail and calendaring programs.

PHYSICAL ENVIRONMENT:
Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. Requires travel between campus offices and off-campus locations.
