Schedule: Mon.- Fri. ; 8AM - 4PM
Salary: $11.04 - $19.80 Hourly

Mission:
Helping Central Texans improve economics self-reliance through a wide range of services and community partnerships.
Strategic Function:
Collaborate with the Family Services Director to create a support system for the Family Advocate team. This position will support all the Family Services activities for the Head Start Program.

Duties/Responsibilities:
  • Family Services and ERSEA Responsivities
  • Cooperate and support the Family Advocate Team as assigned by the Family Services Director.
  • Revise, update, copy, and distribute materials and forms.
  • Assist the Family Services Director in maintaining an electric copy of the Community Resource List.
  • Assist in setting up and preparing Family Advocate meetings and take minuets.
  • Order materials for recruiting activities, maintain inventory for purchases, and assist in distribution.
  • Track the Family Advocate Team training list.
  • Assist the Family Services Director in record keeping.
  • Assist the ERSEA Coordinator with the Eligibility Application.
  • Assist with the Learning Genie program, including enrollment updates.
  • Support Job Fairs and Community Activities assigned by the Family Services Director.
  • Complete the Child File review assigned by the ERSEA Coordinator.
General Office Responsibilities:
  • Perform tasks related to office procedures and functions, including typing, filing, faxing, laminating, and word processing as required.
  • Participate in workshops, in-service training, and regional meetings to offer support.
  • Performs secondary support to content areas, including ERSEA and the Health Department.
  • Collects and distributes interagency mail as assigned.
  • Phone duties as assigned.
  • Arrives on time and works designated hours (unless otherwise specified by immediate supervisor).
  • Flexibility with work schedule and location based on program needs.
  • Approach communication with children, parents, staff, and the community to preserve relationships.
  • If bilingual, translate forms and interpret as assigned/requested.
  • Reports all suspected child abuse to the Child Abuse Hotline at 1-800-252-5400
  • Cooperates and works as a team in the workplace by assisting others as time allows.
Other Duties:
  • Follow record keeping procedures.
  • Shred and confidential information as needed or as assigned by Family Services Director.
  • Travel to sites in Hays and Caldwell counties on a scheduled basis for data entry.
  • Comply with CAI Confidentiality Policy regarding client information.
General Indicators:
  • Submits time sheets accurately and on time to supervisor
  • Submits mileage accurately and on time to supervisor
  • Attends all staff and other meetings as assigned
  • Manages time effectively
  • Is a positive role model for other members of the Team
  • Maintains confidentiality: records, client services, and staff
  • Adheres to Agency’s best practices related to time and leave
  • Dress appropriately to the work environment
  • Maintains a safe, orderly and clean environment
  • All other duties as assigned
Qualifications:
Preferred:
  • Bilingual
  • Associate Degree in Social Work or related field
Required:
Education
  • High School Diploma or Equivalent.
  • 2 or more years’ experience as a Secretary or Receptionist
  • Completion of the Family Services Credential by 18 months of Hire
  • Some knowledge of the principles of office management
Physical Requirements:
  • Must be able to lift 25-30 pounds
Other Requirements:
  • At least 21 years old
  • Valid Texas Driver’s License – Class C
  • May be required to obtain Texas Driver’s License
  • Daily access to vehicle
  • Vehicle Insurance (Personal Injury and Liability)
  • Initial Health Exam required for all Head Start staff at the employee’s expense
  • Initial and annual TB screening are required for all Head Start staff at the agency’s expense.
  • Criminal Background Check required for all Head Start staff at agency’s expense
  • Fingerprinting required for all Head Start staff at the employee’s expense
