Job description
This position is responsible for assisting with all business functions while assuring that patients receive the highest quality of care. Areas of responsibility include, but are not limited to:
RESPONSIBILITIES
1. Always promote the orthodontist and practice. Display a pleasant and professional appearance and personality.
2. Greet and welcome patients in a friendly, professional manner. Treat patients with genuine care and concern at all times.
3. Participate in “morning huddles” to review daily schedule, recognize opportunities to maximize productivity, intercept foreseeable problems, and generate Doctor/Team cohesiveness.
4. Answer all incoming calls and handle them appropriately.
5. Assist the Bliss Advisor and Bliss Coordinator with additional duties as needed.
6. Check patients out and post procedures reflecting treatment completed for service date.
7. Work closely with the clinical team to monitor patient flow and remain on time throughout the day.
8. Notify the clinical team of changes (emergencies coming in, canceled appointments, etc.) throughout the day.
9. Check and respond to all emails and voicemails throughout the day.
10. Prepare correspondence for patients, general dentists, and other professionals as required.
11. Maintain the highest standards of cleanliness of the interior and exterior of the practice.
12. Ensure the continual functioning of all office equipment.
13. Assist with managing all administrative functions, including, but not limited to, reporting lab invoices, equipment repairs, and maintenance requests.
14. Scan documents into the practice management system as required.
15. Maintain inventory for business office items.
16. Participate in discussions with the patients regarding compliments and complaints.
17. Work closely with the Doctor and Smile Team to ensure overall practice cohesiveness and the delivery of the highest level of patient care efficiently and effectively.
18. Always demonstrate teamwork and assist in other areas whenever available.
19. Perform other tasks as assigned.
SKILLS / ABILITIES
1. Strong communication skills, both written and verbal.
2. Clear speech and pleasant telephone demeanor.
3. Developed interpersonal skills to maintain an effective rapport with patients, doctors, and other team members.
4. Organizational skills, ability to prioritize tasks, and remaining calm under pressure.
5. Intermediate computer skills utilizing a keyboard, email, 10-key, and scanner, as well as the use of a multiple-line telephone.
6. Ability to work with basic mathematical concepts.
7. Proficient in Microsoft Office applications and office practice management software.
8. Bilingual
9. Some college education
10. CPR Certified
