This role is for a full-time Senior Program Coordinator position in Dr. Karestan Koenen’s research group in the Department of Epidemiology at Harvard T.

H. Chan School of Public Health (HSPH). This position is ideal for an organized and detail-oriented team player interested in research in population mental health.

This position will manage the administrative needs of Dr. Koenen and the larger group, and report to the Director of Research Operations.

The Senior Program Coordinator will anticipate and initiate actions to ensure smooth operation of multiple programs across HSPH and the Stanley Center for Psychiatric Research of the Broad Institute, specifically projects related to different psychiatric disorders (i.

This position would be tasked with working on both domestic and global projects.

This individual will oversee various aspects of research administration and finance, including organizing and running study meetings with collaborators, providing comprehensive support and oversight for daily lab operations, monitor research budgets, and oversee financial processes.

This individual will also co-supervise student and volunteer research assistants.

Under minimal supervision, the Senior Program Coordinator will be expected to engage in grant writing and manage all administrative components of grant submissions, as well as draft progress reports.

Duties and responsibilities include, but are not limited to, the following :

Administrative Management - Oversees the administrative needs for Dr. Koenen and the Koenen lab

• Responsible for onboarding activities for new hires based at HSPH and the Broad institute
• Oversee the management of special events and recurring meetings for the PI and the lab
• Coordinate international travel arrangements for the PI, team members, and collaborators
• Oversee Dr. Koenen’s ResearchGate, websites, CVs and biosketches
• Provide support and coordinate resources for grant applications, progress reports, and other NIH required documents
• Lead daily office operations and provide general administrative support as needed
• Assign and oversee administrative aspects to other coordinators and research assistants

Finance / Procurement Manage the financial aspects across three institutions, an operating budget of over $10M annually

• Assist the Director of Research Operations in developing budgets for grants and sub awards for the Koenen research portfolio
• Perform monthly assessments of lab and grant related finances to inform how the Director of Research Operations and Dr.

Koenen can allocate funds and ensure compliance to spending categories

• Procure all necessary equipment / supplies / reagents necessary to run projects
• Monitor budgetary needs and sub-contract spending for study sites across Mexico, Africa, and the US
• Review and approve reimbursements for travel and corporate cards, Concur reports, and Buy to Pay transactions performed by lab coordinators
• Serve as a liaison between the Koenen lab and the grants management and finance teams across HSPH and the Broad Institute to ensure all projects stay within budget
• Other duties as assigned
