Associa is Hiring an Administrative Assistant (Part time - seasonal) Near Hanover, MD

Par time Administrative Assistant opening at one of our communities in Hanover, MD to assist during the season.

Hours:

Monday through Friday, 12pm - 5pm.

Seasonal through Labor Day weekend, with possibility to extend.

$21 an hour.

Daily responsibilities:

  • Meet and greet homeowners, residents, guests, members of the board of directors, contractors and vendors.
  • Manage phone calls and emails; research and respond to inquiries.
  • Data enter and update homeowner and property information into the database.
  • Meet and direct maintenance subcontracts and vendors.
  • Issue parking passes and pool passes.
  • Receive packages, log, sort, and distribute to homeowners.
  • Manage all correspondence to homeowner and members of the board of directors.
  • Create, mail, and email HOA violation notices to homeowners.
  • Assist homeowners in completing architectural review forms.
  • Assist homeowners in paying monthly HOA dues.
  • Download financial reports, create board meeting agendas, and assist in assembling board meeting packets.
  • Manage club house and meeting room rentals and reservations.
  • Create and mass email weekly communications and newsletters to homeowners, notifying them of maintenance projects on property, water shut off, HOA rules and regulations, and community events.
  • Track information; fax, file, scan, and record documents.
  • Other duties as assigned.
Requirements:
  • 2 years of clerical support experience.
  • Ideal industry experience preferred: residential or associations, HOA, Condo, multi family, single family, leasing, or a corporate setting.
  • People person who is friendly and outgoing.
  • Highly customer service oriented and a team player.
  • Ability to thrive in a fast paced work environment with interruptions.
  • Ability to prioritize tasks and create check-lists.
  • Attention to detail, time management, and project management skills.
  • Excellent communication skills, written and spoken, and conflict resolution techniques.
  • On time, reliable, dependable, proactive, takes ownership, takes initiative, and thinks one step ahead.
