The Billing Expert Administrative Assistant (BEAA) is a crucial role that involves performing various administrative and office support tasks to ensure the smooth functioning of the organization and the billing & coding expert witness team. The ideal candidate should possess excellent communication skills, be self-motivated and able to pivot quickly between tasks, and have exceptional organizational and time-management skills.

Requirements

  • Answering and directing phone calls and messages to the appropriate staff members.
  • Greeting and directing visitors to the organization.
  • Processing and directing mail and handling all incoming and outgoing deliveries.
  • Scheduling meetings, appointments, and managing both the office and conference room calendars.
  • Planning and coordinating company events.
  • Preparing conference rooms and arranging hospitality needs for meetings.
  • Organizing and restocking the break room daily.
  • Ordering and maintaining inventory of office supplies and services.
  • Overseeing the operation of office equipment and maintaining supplies.
  • Providing support services to a team of billing & coding expert witnesses.
  • Obtaining and providing remote notary services.
  • As needed, provide backup coverage for the case management assistant and the case management administrative assistant.
  • Performing all other duties assigned to support the company or the case management team.

Education and/or Experience: 

  • Previous experience handling office responsibilities or experience in a customer service environment.
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel).
  • Demonstrates initiative, follow-through, and the ability to troubleshoot and problem-solve creatively, effectively, and efficiently.
  • Highly organized multitasker who works well in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Self-directed and able to work without supervision.
  • Ability to prioritize and organize work to achieve position objectives and goals.
  • Willingness to be a team player and assist with team projects and needs. 
  • Familiarity with the legal system and law practices is a plus.
  • Familiarity with medical terminology is a plus.
