We are currently seeking a Billing Manager to join our team in our downtown Columbus, Ohio location. The Billing Manager will sustain a high performing billing team, designing billing solutions for clients with varied billing requirements and working closely with attorneys to foster high regard for exceptional levels of service performed within the billing department. As part of the Finance Leadership team, this position will collaborate and review the activities of the department as a collection of processes that, if designed to work systematically, will work efficiently. The Billing Manager will provide department leadership ensuring quality billing services for clients by working effectively with attorneys, management, Finance Leadership team and staff.

Essential Duties and Responsibilities:

  • Develop, challenge and mentor a team of Billing Specialists by providing leadership, training, support and guidance.
  • Organize and prioritize work to assure that department functions are performed accurately and timely.
  • Lead Billing team/Finance team initiatives including implementing software solutions or upgrades to billing functions which includes working collaboratively with IT team members.
  • Be able to design new processes when needed to support new client-driven or firm-driven changes.
  • Coordinates the set-up, implementation and maintenance of all electronic billing on vendor third-party sites, including managing external e-billing consultants, and assisting with ensuring budgets, timekeepers, rates, status updates, and rejections are addressed.
  • Use knowledge of billing, client matters and other accounting/finance areas along with problem solving techniques to address questions regarding bills from clients, attorneys, legal assistants and billers.
  • Responsible for timely completion of all month-end billing activities, close processes, reporting and distribution of pre-bills.
  • Monitor WIP, in coordination with Collections Manager, and provide reports and follow up with billing attorneys as necessary. Assists Collections Manager with short payments, outstanding receivables and all requests to ensure timely payments.
  • Evaluate and recommend new work procedures to meet the changing needs of the firm. This will include advising on billing processes and technology solutions.
  • Evaluate Aderant, Prebill Manager and Alert Manager and other related systems for enhancements, upgrades and functions. Troubleshoot and resolve issues related to these systems. Utilize SQL and other tools to provide reporting and solutions for department, finance and firm.
  • Responsible for reviewing and approving vacations and managing overtime for billing specialists as well as preparing an annual evaluation of those individuals.
  • Onboard and train new attorneys and staff on time entry, and billing processes. Review ways to utilize internal and external training resources for initial and ongoing training of attorneys and staff.
  • Maintain billing and related records in accordance with the finance department retention plan.
  • Assists in providing information to New Business Intake team to ensure client/matter setup is complete and accurate.
  • Work with Senior Director of Finance and attorneys to ensure alternate fee arrangements and complex billing requests can be met.
  • Manage creation and adjustments to invoice formats.
  • Assists the Chief Financial Officer in responding to billing inquiries and preparation of reports as needed to facilitate the reporting of financial information.
  • Ensure implementation, distribution and storage of outside counsel guidelines.
  • Serve as back-up to Billing Specialists.

Job Requirements:

  • Bachelor’s degree in Accounting, Finance or Information Technology or equivalent experience in Billing, preferably in a law or professional services firm.
  • 2 years of experience billing on Aderant or Elite Enterprise required.
  • 2 years of experience managing or leading a team.
  • Strong interpersonal skills, necessary in order to communicate effectively with clients, attorneys, legal assistants, management and staff.
  • Demonstrated ability to continuously improve billing processes to drive efficiency.
  • Excellent planning, organization and writing skills, including an ability to present and persuade others based on analysis and knowledge of billing issues.
  • A high level of analytical ability and strong problem-solving skills are required to gather and interpret data for complex situations.
  • Proficiency in Excel, Word and PowerPoint.
