    Position: District Office Administrative Assistant
    Reports to: Assistant Superintendent
    Dates: July 1 - September 15
    Qualifications
    • High school diploma or GED
    • Minimum of one year of previous office experience
    • Demonstrated ability to communicate clearly and effectively with students, staff, administration, parents, and community members from a variety of cultures and backgrounds
    • Demonstrated ability to have and maintain positive and effective working relationships with people from a variety of cultures and backgrounds
    • Demonstrated ability to prioritize office tasks to support the Assistant Superintendent and related staff and fulfill job responsibilities
    • Demonstrated ability to operate a computer and necessary software
    • Demonstrated ability to apply appropriate math skills in performing daily routines (i.e. percent, ratios, basic math, etc.)
    • Fluent in Spanish: speaking, reading, writing
    Other Skills and Abilities:
    • Ability to develop effective working relationships with students, staff, administration, parents, and community members from a variety of cultures and backgrounds.
    • Ability to maintain professional composure at all times.
    • Serve as primary initial contact for people having business with district office personnel.
    • Proven ability to show initiative and function as a self-starter.
    Work Environment:
    • Collaborative work in a fast-paced environment interacting with students, staff, administration parents, and community members from a variety of cultures and backgrounds with multiple requests and concerns.
    • Front office position.
    • Occasional need to respond to emergency situations requiring staff, police, fire, and/or medical assistance.
    Responsibilities:
    • Support the Assistant Superintendent and related staff (Enrollment Coordinator, Equity Coordinator, ESL Coordinator).
    • Greet and help community members, staff, and others entering or calling the District Office.
    • Working with the Enrollment Coordinator, support families in the enrollment process, including but not limited to answering questions about the enrollment paperwork and process and helping them complete enrollment paperwork.
    • Communicate effectively on the phone, take messages, and routes calls.
    • Responsible for word processing and correspondence through knowledge of computer applications, e-mail, Google applications and Internet.
    • Assist with routine office procedures such as mailing, faxing, copying, printing, and mail distribution as requested.
    • Process purchases, timesheets, and other items related to Title 1, Title 2, Title 3, Title 4, Title 6, Targeted Services, American Indian Education, and Achievement and Integration funds. Maintain accurate records of budget expenditures and produce budget reports.
    • Work with our non-public schools related to budget requests related to Title 1, Title 2, Title 3, and Title 4.
    • Assist Spanish-speaking parents and community members through verbal and written communication.
    • Performs other related duties as assigned or apparent.
    Physical Requirements: General office working conditions, using close vision, walking, and talking; frequently using a keyboard to input information into computer, reaching with arms and hands and lifting up to 35 pounds.
