Role Overview:
As an Event Coordinator at XMG, you'll be at the forefront of organizing events that drive awareness, engagement, and excitement, particularly in the realms of Technology, Entertainment, and P.E. fundraising. Working closely with our team and key stakeholders, you'll plan, execute, and evaluate a diverse range of events, from concerts and product launches to conferences and webinars. Your creativity, meticulous attention to detail, and exceptional organizational skills will be instrumental in ensuring the success of these events.

Key Responsibilities:

  • Event Planning: Strategize and coordinate events, from defining objectives to managing budgets and logistics, including executing large-scale signature events.
  • Cross-functional Collaboration: Work closely with various departments and external agencies to ensure seamless event production and execution.
  • Content Development: Collaborate with marketing and content teams to craft compelling event materials and presentations.
  • Vendor Management: Liaise with vendors, contractors, and suppliers to guarantee flawless event execution, managing logistics for optimal results.
  • Promotion: Partner with the marketing team to drive event attendance through digital channels and cultivate relationships with relevant agencies.
  • Registration: Oversee event registration processes and attendee lists, analyzing operations for enhancements and guest satisfaction.
  • On-Site Management: Ensure smooth on-site event logistics and operations.
  • Post-Event Evaluation: Conduct comprehensive evaluations to measure event success and gather feedback for future improvements.
  • Budget Management: Track and manage event budgets effectively, conducting post-event reporting and ROI analysis.

Defined Responsibilities:

  • Support the Event Marketing Manager in all aspects of event development, execution, and management.
  • Ensure a consistently high level of brand experience and service for event attendees.
  • Research and secure appropriate event venues, negotiating schedules and costs.
  • Build and maintain a strong network, including partnerships with organizations, brand ambassadors, and other relevant entities.
  • Oversee event-related activities of internal teams, third-party staff, and vendors.
  • Lead projects, aligning with annual business objectives and implementing a calendar of industry-specific live events.
  • Collaborate with internal teams to develop processes for event logistics and execution.
  • Manage project timelines and deliverables, ensuring goals are met.
  • Work with marketing, PR, and social media teams to promote events effectively.
  • Coordinate all aspects of trade shows and events, from registration to vendor management.

Required Qualifications:

  • Bachelor's degree in Marketing or related fields preferred.
  • 5 years of experience in Events Management and Marketing/Product Launch preferred.
  • Exceptional communication skills and professionalism are essential.
  • Ability to work autonomously and meet deadlines in a fast-paced environment.
  • Willingness to travel for event oversight.
  • Social Media and Influence Marketing experience is advantageous.
  • Strong research, project management, and organizational skills.
  • Passion for health, fitness, and supplements is a plus.
  • Reliable transportation is required.

Job Type: Part-time

Pay: $89,000.00 - $110,000.00 per year
