Position Title: CLASS Support Coordinator
Department: 9020|Picard Center for Child Dev
Responsibilities:
The CLASS Support Coordinator will work under the direction of the CLASS Project Director and the Assistant Project Director. The qualified individual will perform daily administrative tasks related to achieving project deliverable and timelines. This individual should demonstrate strong customer service and phone skills, work efficiently with attention to detail while meeting deadlines under pressure. This individual should be a self-starter, a problem-solver, adaptable, and work collaboratively with Picard staff.
• Lead the site level calls for each observation round by verifying contact information, teacher information, and any CLASS related details pertinent to the project.
• Assist with daily phone calls with CLASS observers.
• Check the main CLASS email account throughout the day (make schedule changes, send observation orders, correspond with observers and/or sites).
• Check-in mail (observation booklets and documentation).
• Prepare and mail observation booklets.
• Oversee the bulk observation electronic letter mailouts.
• Review the accuracy of data entered into the LDOE’s Early Childhood Portal and cross-check with observation booklets, as needed.
• Receive observer billing- scanning and saving for review.
• Update designated file with site level changes, observation changes/updates.
• Scan and prepare observation booklets for review (data checks, appeals, etc.).
• Attend LDOE/Picard Center staff meetings and take notes.
• Assist with annual orientation and CLASS trainings.
• Participate in one CLASS observation training (infant, toddler or PreK-3rd).
• Provide support to the Project Director and Early Childhood team by participating in cross-training not limited to: scheduling, running observation tickets, checking observer calendars, etc.
Qualifications:
Required Qualifications:
-Bachelor’s degree
-1 year of experience working in a busy, fast-paced environment
-Exceptional professional communication and organizational skills
Preferred Qualifications:
-Exceptional professional communication and organizational skills
-Coordinating and executing the daily activities of a large-scale project
-Skilled proofreader
-Proficiency in Microsoft Word, Excel, and Power Point
-Experience sending mass emails via mail merge
-Ability to create and use spreadsheets for human resource, tracking observer trends/performance, and project timelines
