The Arc of Essex County is Hiring a Transportation and Property Mgmt. Operations Coordinator - Non-Profit Agency Near Fairfield, NJ

About Us:

The Arc of Essex County is a non-profit organization that provides services and programs for individuals with intellectual and developmental disabilities and their families. Our corporate office is located in Livingston, NJ and we have programs throughout Essex County.

Job Summary:

The Asset Operations Coordinator is responsible for tracking of agency vehicles, equipment, property maintenance documents, coordinating vehicle repairs, maintaining all federal, state, and local permits ensuring safe storage and updates for use, as necessary.

This position reports to the Operations Manager.

Essential Duties and Responsibilities:

  • Monitor, track, and update vehicles, equipment, and property documents
  • Schedule preventative maintenance and vehicle service appointments
  • Transport fleet vehicles to repair shops and NJ Motor Vehicle Commission locations
  • Enter data and compare multiple databases daily to identify risky driving behaviors and report findings to Operations Manager for review
  • Participate in overall Quality Assurance reviews
  • Process requests for appliance repairs and replacements
  • Prepare purchase/payment requisitions
  • Maintain vehicle accident database
  • Manage work orders
  • Coordinate annual life hazard fire inspections conducted by local fire official
  • Coordinate and track sprinkler and alarm inspections with third-party vendor
  • Obtain accident Police Reports either electronically or in person from state and local police department
  • Manage accident records and folders
  • Schedule and coordinate third-party Behind-the-Wheel sessions
  • Maintain agency’s fuel, E-Z Pass, and Home Depot credit card databases
  • Maintain documentation and communication with outside suppliers and vendors
  • Perform other duties as assigned

Education / Work Experience / Skills:

  • Associate degree in related field preferred; High school diploma required
  • Minimum 1 year of relevant work experience required in an office environment with multiple people and heavy workload
  • A valid Driver’s License with good driving record
  • Proficiency in MS-Office, Outlook and Property management software

  • Excellent time management skills with a proven ability to meet deadlines
