Position Overview:
The Project Accountant will support the accounting & purchasing department by performing a variety of project related tasks, including issuing purchase orders, creating invoices, processing payroll, and maintaining accurate financial records. This role is essential for ensuring the smooth operation of the project accounting functions and contributing to the financial health of the organization.
Key Responsibilities:
Purchase Orders:
Prepare and issue purchase orders as requested.
Verify purchase orders for accuracy and completeness.
Coordinate with vendors and suppliers to confirm order details and delivery schedules.
Invoicing:
Generate and send invoices to clients.
Track and follow up on outstanding invoices.
Record and reconcile payments received.
Payroll Processing:
Collect and verify timesheets and payroll information.
Process payroll in a timely and accurate manner.
Handle payroll deductions, benefits, and tax withholdings.
Financial Record Maintenance:
Assist in maintaining accurate and up-to-date financial records.
Perform data entry for accounts payable and receivable.
Support to Accounting/Project Team:
Assist with project checklist & job related processes.
Provide administrative support to the accounting & purchasing department as needed.
Prepare job cost reports and summaries as requested.
Compliance and Reporting:
Ensure compliance with financial policies and regulations.
Assist with internal and external audits.
Maintain confidentiality of all financial data.
Certified Payroll knowledge a plus
Qualifications:
High school diploma or equivalent; Associate's degree in accounting or related field preferred.
Proficiency in accounting software (Viewpoint/Spectrum a plus) and MS Office (especially Excel).
Strong attention to detail and organizational skills.
Excellent communication and interpersonal skills.
Ability to handle sensitive information with confidentiality.
Basic understanding of accounting principles and payroll practices.
