TERM OF EMPLOYMENT: 12-Month
REPORTS TO: Department Chief Officer/Director as assigned

SUMMARY: The position of Office Technician is for the purpose(s) of providing clerical support to assigned personnel and the department staff to which the Technician is assigned; communicating information to staff, the public and other districts; providing complete and accurate documentation and audit trail; and providing information and/or direction as may be requested.
Required Qualifications
  • High School Diploma or GED
  • Job-related experience with increasing levels of responsibility
  • Targeted job-related education that meets organization’s prerequisite
  • Ability to assist team members
  • Ability to take direction
  • Ability to work with confidential materials

  • School District job-related experience

Essential Duties And Responsibilities
  • Answers telecommunication system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages
  • Maintain and organize files and filing systems within the office
  • Assesses situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution
  • Maintains schedules (e.g. meetings, room schedules, etc.) for the purpose of coordinating available space
  • Processes documents and materials (e.g. schedules, agendas, mail, etc.) for the purpose of disseminating information to appropriate parties
  • Orients personnel as may be required to department practices and/or procedures for the purpose of coordinating interdepartmental activities
  • Presents information on administrative procedures, services, regulations, etc., for the purpose of training and orienting other personnel
  • Researches various information (e.g. current practices, policies, education codes, etc.) for the purpose of providing information and/or recommendations and/or addressing a variety of administrative requirements and information
  • Translate memos, materials, forms, etc., for the purpose of providing materials to non-English-speaking customers when applicable.
  • Supports administrative personnel for the purpose of providing assistance with various administrative functions
  • Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required
  • Assists in the inventory of administrative office supplies for the purpose of ensuring availability of materials when needed
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities
  • Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee
Skills, Knowledge And AbilitiesSkills are required to perform single, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment.
Knowledge is required to perform basic math; read and follow instructions; and understand oral and written instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: various position-specific information learned on-the-job.
Ability is required to schedule activities; collate data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with specific, job-related data; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; and working under time constraints.

Work EnvironmentThe usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing and/or pulling; and some fine-finger dexterity. Generally the job requires 90% sitting, 5% walking and 5% standing. The job is performed in a generally clean and healthy environment.
