The Accounting Specialist supports both the Finance and Development departments at Pasado’s Safe Haven and is responsible for high-volume data entry of donor data and incoming donations from various channels into the CRM platform (Virtuous), data entry of accounts payable, accounts receivable and cash transactions into the accounting system (SAGE Intacct), preparation of various month-end reconciliations between systems and performing other general accounting and administrative tasks that support the efficient operation of both departments. This position requires exceptional organizational and multitasking skills, experience with multi-system data entry of financial data, a high level of attention to detail and the ability to work well both independently and as part of a team.

Responsibilities include, but are not limited to:

Development Duties (50%):

• Process and record all incoming credit card and ACH donations from multiple sources into the CRM platform in an accurate and timely manner, add new donor information into the CRM and prepare daily batch exports to be imported into the accounting system.
• Record incoming checks and cash donations in the CRM and maintain logs and tracking worksheets in an accurate manner to ensure smooth reconciliations at month end. Assist with preparation of monthly in-kind donation FMV calculations for donated supplies and services and record in the CRM platform.
• Assist the Development team with preparation of donor letters and new donor letters, and distribute via email and mail as appropriate and in a timely manner.
• Assist with the planning and execution of various fundraising events, including tracking and data entry of attendee and donation information.
• Monitor the shared development email inbox and voicemail and respond to donor inquires and assist donors with making donations.
• Support the development team by providing donation related information and reports when requested, monitoring donations for specific donors as requested and act as a backup to other development data personnel to cover absences.
• Collaborate with other departments to ensure adequate development supplies are maintained and readily available.
• Perform other development-related duties as assigned by management.

Finance Duties (50%):

• Prepare incoming accounts payable invoices by ensuring proper approvals are received in a timely manner and process and enter invoices daily. Setup new vendors within the accounting system and obtain necessary W9s and contracts, and maintain an organized, audit-ready, digital filing system.
• Access data from other department systems used to generate accounts receivable invoices. Prepare and process accounts receivable invoices on a scheduled basis.
• Assist the Finance Manager with processing monthly company credit card transactions and ensure proper coding and accuracy of data feed from Concur Expense Reporting system into the Accounting System.
• Process online vendor payments and record auto-draft payments within the accounting system.
• Perform a variety of month-end close tasks, such as reconciling data between the CRM and the accounting system, updating various tracking spreadsheets and assisting with preparation of bank and cash reconciliations for multiple accounts.
• Assist with the preparation of annual 1099s and quarterly sales tax reports and support annual audit requirements by locating and providing documents and reports for auditor testing.
• Assist with collecting incoming mail from company post office boxes as requested and act as a backup to the Operations Coordinator for general office administration tasks to cover absences.
• Perform other financial, accounting and administrative duties as assigned by management.

Required Skills/Qualifications:

• Minimum of two years’ experience in a high-volume accounting data entry role and/or development data entry role.
• Must be proficient using Microsoft Office365 products, be able to perform intermediate Excel functions and be highly confident in ability to learn new software applications. 
• Must be a self-starter able to work independently in a fast-paced environment and with an emphasis on accuracy and timeliness; and possess strong organizational and time management skills.
• Must be detail oriented with excellent communication, time management and organizational skills. 
• Must be able to work independently and in a team environment. 
• Experience working in a non-profit organization or communicating with external stakeholders strongly preferred.
• Will be required to successfully pass pre-employment skills-based testing for financial data entry speed and accuracy. Recent testing from another source may substitute for this requirement.

Employment:

• Full-time, non-exempt (32-40 hours per week, with flexible scheduling) 
• Hybrid – remote and onsite in Monroe, WA 
• Salary range $24-$40, starting salary range: $26- $32 per hour, DOE
