Location: Hybrid in Jacksonville

Schedule: Monday-Friday, 8am - 5pm

What work will you perform?

In this role you will support two executives, performing highly confidential and complex administrative duties while proactively keeping them apprised of important items and their impacts. You are a strategic thinker who communicates effectively at all levels. You are comfortable serving as a buffer and acting as a liaison for the assigned executives, confidently responding to and handling requests from internal and external parties. If you are a proactive problem-solver with advanced proficiency in creating presentations, conducting analysis, and managing competing priorities we want to speak with you.

Essential Responsibilities:

  • Responsible for the day-to-day operation of the executive's office
  • Screens/handles executive phone calls
  • Manage calendars and schedule appointments for one or more executives
  • Coordinate and arrange meetings, conferences
  • Assist with annual convention agenda including but not limited to hotel, travel, registration, database registration software, and on-site support during event
  • Draft and edit correspondence, reports, presentations, and meeting minutes
  • Code and process invoices for payment via automated system
  • Conduct research and compile data for various projects
  • Prioritize and manage competing priorities
  • Coordinates travel arrangements and completes expense reports
  • Perform data entry and file management tasks
  • Prepare budget spreadsheets
  • Develop PowerPoint presentations with imbedded video, linked objects and multi-axis graphs from Excel
  • Answer and screen phone calls, take messages, and respond to inquiries
  • Proofread documents for accuracy and completeness

Required Minimum Experience and Education:

  • Bachelor's degree (B. A.) from four-year college or university or 4 years of equivalent experience or some combination of work and education equaling 4 years of experience
  • One year of executive support experience

Knowledge, Skills, and Abilities:

  • Ability to maintain confidentiality
  • Advanced Excel skills including formulas and multi-axis graphing
  • Advanced PowerPoint skills including linking objects, basic animation and imbedding video
  • Proficient in all Office 365 applications including MS Teams
  • Excellent oral and written communication skills
  • Excellent interpersonal skills
  • Professional phone etiquette and demeanor
  • Excellent customer service skills
  • Expense Reporting
  • Ability in making, booking, and managing travel arrangements
  • Excellent time management skills
  • Familiarity with DocuSign
