Houston First is Hiring a Manager, Facility Near Houston, TX

IN-PERSON - HOUSTON, TX.

We are seeking a Facility Manager to manage the day-to-day activities of the Partnership Tower, (10 Story Building located in Downtown, Houston) catering to the needs of its diverse tenants and departments. This position entails effective communication with tenants, service providers, local authorities, and department leaders, ensuring the dissemination of vital updates and policy modifications. 

SUPERVISORY RESPONSIBILITIES

  • ☒ Supervises: Assistant, Sr. Distributor, and Receptionist
  • ☒ Maintain staff by recruiting, selecting, orienting, and training and supervising team members.
  • ☒ Plan, assign and appraise performance; rewarding and disciplining team members, addressing complaints, and resolving problems. 

DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS

  • Oversees the day-to-day activities of the reception and mailroom to ensure they work productively and meet deadlines and company standards.
  • Point of contact for all the facility vendors, contractors, and tenants.
  • Organizes maintenance companies to keep the facility clean and safe and ensure its appliances are in good working order.
  • Purchases office supplies and equipment and maintains proper stock levels.
  • Produces reports, composes correspondence, maintains contracts, office keys, master keys and office furniture.
  • Assists with office layout planning, office moves, and manage and maintain IT infrastructure.
  • Maintains schedule, equipment needs and ‘use’ conditions for the boardroom.
  • Manages office budget.
  • Identifies opportunities for process and facility management improvements, and design and implement new systems.
  • Maintains company vehicle fleet to ensure equipment is functioning and in regulatory compliance.
  • Oversees facility life safety plan to include maintaining the Safety plan, executing bi-annual fire drills, scheduling testing of life safety equipment and training of fire wardens.
  • Maintains facility architectural plans, facility blueprints, permits and office layouts.
  • Facilitates printing of facility badges, lost badges, parking updates and tenant requests.
  • Collects and maintain on file, tenant, and tenant onsite Certificate of Insurance (COI’s)
  • Other special projects.
  • Other duties and special projects as required
 

EDUCATION AND EXPERIENCE

  • High school diploma or GED required.
  • A bachelor’s degree or equivalent.
  • Five years of experience in office administration or facility operations
  • Office management experience.
 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Effective communication including oral, written and listening skills
  • Ability to motivate team to produce quality work in tight timeframes
  • Computer knowledge and software skills
  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks
  • Organization and the ability to multitask to complete a wide variety of tasks
  • Flexibility to help them adjust to new tasks should company or office needs change
  • Strong interpersonal skills to interact positively with all team members
  • Leadership ability to manage challenges and oversee team members
  • Attention to detail to ensure tasks are completed thoroughly and correctly
  • Ability to operate a company motor vehicle
