Job Description – Payroll & Benefits Administrator

Accounting Department 40 Hours per Week Hourly Rate of Pay

Job Duties and Responsibilities:

  1. Understand the activities and philosophies of the GLS Industries family of companies.
  1. New Hires:
  1. Advertise for open positions and collect resumes and applications.
  2. Assist hiring managers with new hire process and/or termination process.
  3. Initiate background checks on candidates and forward results to hiring manager.
  4. Schedule assessments for selected candidates and forward results to hiring manager for review.
  5. Send out offer letters and/or rejection letters.
  6. Collect & verify hiring documentation: I-9, W-4, , direct deposit, employee information, role, emergency contacts.
  7. Set up employee in WorkforceNow and if hourly activate Time and Attendance.
  1. Employee Maintenance:
  1. Maintain/update employee files, including paper, Microsoft Excel, ADP WorkforceNow and Ease.
  2. Process payroll changes including roles, status, pay, personal information, benefits and initiate communication between employees and managers as needed.
  3. Maintain Job Descriptions and Company Organizational Charts.
  4. Send out flowers or gift cards to employees, as appropriate for hospitalization, birthdays, marriages, deaths, births, employment anniversaries.
  5. Update employment policies and answer employee questions.
  6. Share employee pay rates with management for purposes of review and raise consideration.
  7. Run Motor Vehicle Reports on company drivers and FMCSA checks on truckers at least annually.
  1. Payroll:
  1. Review/correct hours worked and paid time off for payroll.
  2. Verify payroll reports for accuracy of hours worked, commissions, deductions made, etc.
  3. Generate biweekly payroll.
  4. Run payroll reports, GL report each pay period and record funds needed for payroll.
  5. Establish or close state withholding and/or unemployment accounts as needed.
  6. Run monthly commission reports, calculate commission and import to payroll.
  7. Prepare Bonus payments and import to payroll.
  8. Assist CFO and Controller with balancing payroll GL accounts.
  1. Benefits:
  1. Offer insurance to employees when eligible via ease.
  2. Assist employees with benefits questions.
  3. Verify benefits invoices for accuracy, reconcile between employee deductions and forward to Accounts Payable.
  4. Facilitate presentations and information sharing for new employees or to explain changes in benefits.
  5. Evaluate benefits options at renewal and present the best options.
  6. Cancel insurance when appropriate and administer COBRA continuation via UHC.
  7. Administer Cafeteria accounts. Set up and pay out medical and dependent care expenses for participating employees.
  8. Track and monitor hours to determine if Seasonal/Part-time workers qualify for Medical insurance.
  9. Assist with annual 401(k) audit.
  1. Workers’ Compensation: collect First Report of Injury details and verify with insurance companies. Complete reports, assist auditors, review rates and have ADP update rates annually expenses are accrued.
  1. Update and post OSHA injury reports.
  1. Run monthly, quarterly, semiannual, and annual reports for sales and use tax and file each needed return with the applicable state.
  1. Order office supplies and call for maintenance on copiers/printers/fax.
  1. Assist managers with reports and projects such as productivity reports and cost comparisons, as needed. Also assist coworkers as needed.

Preferred Skills and Knowledge:

  1. Basic computer proficiency, including experience with Microsoft Excel and PowerPoint
  2. Good communication skills
  3. High attention to detail
  4. Ability to prioritize and multitask
  5. Education and/or experience in Human Resources and/or Accounting
  6. Experience with ADP WorkforceNow highly preferred
