Part-Time
Tuesday, Wednesday, and Friday evenings from 4:30 pm – 8:30 pm
Every eighth Sunday from 8:00 am – 4:30 pm
Willing to be flexible and trade days with co-workers and to fill-in if needed during a weekday or evening shift on occasion
Front Desk Receptionist/Concierge will be the “face” of Bayley in our main lobby greeting and interacting with all residents, guests and staff with the immense responsibility for positive first impressions. The Receptionist will have a friendly personality while also being very perceptive and disciplined in exhibiting exceptional multi-tasking skills in responding to questions and providing information. Receptionist will perform clerical duties and record keeping for the most up-to-date room location of residents This very visible, focal point position answers the general phone line for Bayley, directing calls, referrals, and inquiries to the proper department or staff member.
· Provides excellent customer service, exhibiting a helpful attitude and behavior in accordance with Bayley’s core values.
· Answers questions and provides directions/information to visitors, guests, residents, staff, sales representatives, etc., in accordance with established policies and procedures.
· Answers multi-line telephone. Determines nature of call and directs caller to appropriate individual or department.
· Assists residents and residents’ family members as requested/needed. Submits maintenance and housekeeping requests, calls/pages nursing supervisor.
· Ensures guests/visitors abide by existing rules and reports suspicious persons/information or activity to Campus Security.
· Cultivates effective and respectful relationships with residents, families and staff, as well as promoting resident safety.
· Has active role as part of the Administration team, helping with administrative/clerical duties. This includes filing, copying, mailings, composing/editing/formatting letters/documents in MS Word and Excel.
· Ensures mail (in-house/outgoing) is distributed and prepared timely and accurately.
· Maintains postage machine, adding postage when necessary. Runs outgoing mail through postage meter preparing for daily mail pickup.
· Maintains “up-to-date” resident information and room/apartment location.
· Maintains confidentiality of a resident’s pertinent health information in accordance with HIPAA guidelines.
· Operates copier, office machines, and orders supplies as needed.
In unusual or emergency situations, the employee may be called upon to perform duties other than those listed here on a temporary basis in order to maintain key operational functions of the department or organization.
Requirements
REQUIRED
· Possess, as a minimum, a high school diploma or equivalent
· Excellent customer service skills, phone skills, business grammar and communication skills
· Administrative/clerical skills
· Microsoft Office Word, Excel and Outlook, Internet
· Ability to multitask in busy setting
· Ability to relate well and work with seniors in our caring environment
· Customer service experience in person and in phone communications working in a public location.
· Computer literate
