Assistant Manager

Reports to: General Manager

Position Overview:

The Assistant Manager (AM) is responsible for leading daily business operations. The AM manages the people, products and premises of Urban Weeds. The AM interacts with every individual in the facility, providing them the tools, information, and guidance to effectively fulfill their responsibilities at Urban Weeds. This includes ongoing communication with the sales, inventory, fulfillment and security teams.

The AM is the liaison between the GM and Urban Weeds staff, so it is their responsibility to accurately report information, including sales and inventory data. The AM will be responsible for assisting Urban Weeds GM with budget management, establishing sales goals and incentives, and support staff oversight. The AM is also the primary point-of-contact for all customer issues or escalations, including applying any special discounts. Urban Weeds AM’s are required to be an emergency contact in the event of off-hours incidents or requests.

The AM’s primary function is compliance. They manage all internal and state reporting systems, ensuring data is submitted accurately and on time. They regularly audit systems, procedures, and transactions, to ensure Urban Weeds remains in compliance at all times. The AM works in lockstep with the Inventory Manager and Delivery Manager to ensure the store is competitive in the marketplace in both products and practices. Managers are expected to maintain a comprehensive understanding of all applicable New York rules and regulations. They are also able to perform the duties of each position within Urban Weeds, so they are able to adequately support and understand each staff member. This includes possessing the same knowledge of store cannabis and cannabis products as the sales and inventory teams, so they are able to capably speak with customers or process transactions when necessary.

Responsibilities:

  • Create a supportive, inclusive, and comfortable culture and experience for all employees, customers, and visitors
  • Implement and maintain all standard operating procedures, ensuring their ongoing compliance
  • Mastery of all rules and regulations established by OCM and the state of New York
  • Participate in training of all store employees
  • Onboard employees, ensuring all paperwork is completed properly and they are provided with all appropriate documentation and information
  • Conduct internal trainings and ensure employees have completed all required trainings prior to beginning their job duties
  • Open and close the store according to Urban Weeds SOP’s
  • Ensure cash outs, bank records, and deposits are accurate
  • Count, verify and label all currency prior to placing in the safe or sending for deposit
  • Submit daily and as-required reports related to the performance of the store, including non-emergency issues or accomplishments
  • Act as designated point-of-contact for all store emergencies or incidents
  • Act as liaison between store staff and GM
  • Assist the sales team on the sales floor when necessary
  • Assist GM in creating sales goals and incentives for Urban Weeds
  • Support the Inventory Manager and participate in ordering, budgeting or intake when necessary
  • Support the Delivery Manager and participate in budgeting or intake when necessary
  • Report major issues, incidents or accomplishments to GM immediately
  • Immediately report security incidents to security team, local law enforcement and/or GM when necessary
  • Create store schedules on a weekly or bi-weekly basis
  • Perform general office work, as required
  • Maintain accountability of all dispensary agents and their execution of the specific job descriptions
  • Prioritize privacy and confidentiality for customers and employees
  • Monitor the premises for any health, welfare or safety concerns, including diversion
  • Provide support and advice
  • Observe and coach the sales staff
  • Oversee all data collection, recording, and reporting
  • Work with Inventory Manager to ensure audits are accurately conducted on a daily basis
  • Implement all anti-diversion policies
  • Identify and correct store concerns with a sense of urgency
  • Implement notification systems in the event of a recall or incident with a product
  • Be nimble and adaptable
  • Ensure ongoing required trainings are coordinated and attended
  • Manage scheduled visitors, as required by Urban Weeds
  • Provide clear direction to Urban Weeds employees by developing and/or implementing compliant operating procedures and job descriptions
  • Conduct regular store meetings, to ensure the team is abreast of any changes or news
  • Create, organize and maintain current copies of all employee files
  • Responsible for monitoring daily time records for all employees
  • Manage time-off requests and call-outs
  • Communicate weekly payroll information to necessary contacts for processing
  • Communicate facility or technological maintenance requests to Urban Weeds, acting as the point-of-contact for any requisite facility visits for repairs or updates
  • Monitor and update the product menu and external menu on a daily basis
  • Maximize revenue through sales incentives and product marketing, setting goals on an ongoing basis
  • Manage all recalls or returns, to ensure emergency responses are appropriately handled.
  • Ensure sales area marketing and product placements meet or exceed Urban Weeds marketing standards
  • Manage, supervise and direct daily activities of Urban Weeds, delegating responsibilities when necessary
  • Become a subject matter expert in NY Track and Trace and Point-of-Sale
  • Keep track of market trends, competitors in the area and national cannabis news
  • Ensure Urban Weeds meets or exceeds all community service or donation commitments
  • Ensure Urban Weeds is aware of and involved in local community or neighborhood groups that are open to networking with cannabis businesses
  • Ensure Urban Weeds adheres to or exceeds Urban Weeds environmental standards
  • Ensure Urban Weeds has adequate office and cleaning supplies

Skills Qualifications

  • At least 21 years of age and legally authorized to work in the US
  • Previous management/ leadership experience in a high-volume sales environment required
  • Previous cannabis knowledge preferred
  • Excellent communication and organization skills
  • Integrity, discretion, and professionalism are paramount
  • Knowledge and understanding of industry best practices preferred
  • A desire to help others, people-oriented, and team-oriented
  • Technologically savvy, familiarity with point-of-sale or inventory management system
  • Ability to thrive as an individual employee while also leading a team
  • Bilingual a positive, but not required
  • Must be able to lift up to 30lbs
  • Reliable transportation
  • Must be able to pass all background checks required by the OCM and Urban Weeds
  • Ability to problem solve and troubleshoot
  • Adaptability to frequently evolving business and/or regulatory requirements
  • Ability to multitask and remain productive
  • Flexible schedule, to include some weekends and holidays
  • Ability to work in person in a non-remote position

Pay: $65,000.00 - $70,000.00 per year
