Job SummaryThe Gallery Coordinator for the Bo Bartlett Center is responsible for the daily operation of the Center. The GC, in communication with the Bo Bartlett Center Director, coordinates the daily opening, closing, and operations of the facility and will be the primary contact for the scheduling of programming, special events, and facility use. Other responsibilities include preparatory work for exhibitions, support for related programming, and collection management. The GC will work with staff, board members, donors, docents, and volunteers in developing and assuring the success of outreach programs. The Gallery Coordinator will have responsibility for the scheduling and daily supervision of Gallery Assistants and interns. Providing a positive face and professional atmosphere for the center, the Gallery Coordinator will maintain ongoing relationships with vendors and university faculty and staff and maintain established administrative procedures and policies. The GC must interact with guests in a personable and concise manner.
ResponsibilitiesSignificant Duties and Responsibilities include: Coordinate the daily opening, closing, and operations of the facility, and be the primary contact for the scheduling of programming, special events, and facilities use.; Support the Director by assisting with the maintenance of the Bartlett Center collection, including proper handling, relocation, documentation, and storage.; Support the Director by preparing the appropriate paperwork, documentation, and shipping of exhibitions in coordination with Shared Administrative Services.; Coordinate all contract labor related to programs and exhibitions.; Contact appropriate offices in a timely manner for temperature control, public safety concerns, and opening and securing of spaces within the facility for student access and for events.; Coordinate and supervise part-time facility and gallery assistants.; Answer the telephone and route calls as appropriate. Distribute mail and maintain and monitor inventory of office supplies.; Serve as the principal contact for third-party entities at the Center and work with University Support Services directly for all events in the center.; Submit appropriate paperwork, in coordination with Shared Administrative Services, for all events and keep the calendar of events updated.; Coordinate Volunteer and Outreach Programs, Docents, and Greeters.; Work with Shared Services to order materials and supplies for outreach programs.; Assist in the development of materials for meetings of the Board of Advisors and sending communications to members of the Board at the request of the Director.; Keep the website current and post center news/events on social media.; Keep reception/office spaces and storage areas organized and in order.; Provide business operational support for the BC.; Process requests with Shared Services for payment of invoices.
Required QualificationsRequired Qualifications include: Demonstrated gallery or museum experience.
Preferred QualificationsPreferred Qualifications include: Four-year college education with art-related experience (B.A. B.F.A., M.A. and/or M.F.A. preferred).; Supervisory experience preferred.
Proposed SalaryThe proposed annualized salary range for this position is $39,253 - $43,000 and includes full benefits.
