Manitowoc Public School District is Hiring a Secretary to the Principal Near Manitowoc, WI

We are looking to hire a Secretary to the Principal Position at Jackson Elementary School beginning August 2024. This position supports the principal and performs all functions of the head elementary school building secretary. The position serves as a building representative for the school in communicating information, problem solving, material acquisition, cash handling, record keeping, and general building monitoring. This position works eight (8) hours per day; up to 205.5 days per year, at the discretion of the building principal.

Preferred Qualifications:

  • Post high school education or related experiences and at least three year of previous office experience
  • Excellent business, communication and public relations skills
  • Excellent word processing and data management skills
  • Knowledge of Microsoft Office and Google Suite
  • Experience working with elementary aged children preferred
  • Ability to building connections and relationships with all stakeholders

Reports Directly To: Building Principal

Essential Job Functions:

  • Develops effective working relationships with people with the ability to be empathic and show patience with parents, students, and staff
  • Serves as receptionist for the principal, greets students, staff members, and visitors
  • Gives tours of school to new families
  • Answers phone, takes messages, supplies requested information or refers call to proper staff member
  • Makes announcements on the school’s PA system
  • Maintains information within Infinite Campus, WISE ID and Frontline Absence Management, including report gathering for all systems
  • Maintains school records and files for building as per the directions of the building principal
  • Sorts and distributes mail to staff
  • Types, prepares, distributes, files records/reports, correspondence, and mailings related to the building functions and principal's and possibly teacher’s needs
  • Orientates reserve teachers to the classroom and building
  • Processes employee payroll time sheets for the building staff
  • Schedules use of the building facilities
  • Attends open house once per year and works during p.m. parent/teacher conferences
  • Orders, processes, and maintains office materials and equipment
  • Serves as confidential secretary to the building principal
  • Administers medication according to district policy and regulations
  • Attends in-service training as stipulated by the district including CPR, AED and First Aid coursework to maintain a current certification
  • Attends District offered training sessions relevant to position
  • Distributes community brochures when appropriate
  • Calls parents regarding absentees, illness in school, etc.
  • Appropriately plans for scheduling and completing secretarial tasks and completes tasks in a timely manner
  • Operates office equipment in a proper and responsible manner
  • Issue and collect building keys/fobs from staff members
  • Collects money/fees from students /families
  • Assists office assistant with attendance as needed
  • Assists the Parent Teacher Association/Organization with functions and information distribution
  • Assists in washing clothes from health room for student use when needed
  • Assists with dental, vision, and employee Health Risk Assessment clinics as well as picture day
  • Assists with student lunch orders and submitting information to Food Service Program
  • Maintains applicable records for the school
  • Prepares purchase requisitions
  • Manages or assists with the school supply storeroom including preparation of standard supply requisitions and issues supplies in the building
  • Enrolls and withdraws students
  • Prepares attendance, enrollment, and immunization reports
  • Updates immunization and health reports in accordance with district policy relative to student files
  • Generates family lists and keeps data base current with enrollment changes
  • Administers minor first aid to pupils and as necessary and attends to the safety and well-being of all students and staff, including but not limited to the use of universal precautions as per bloodborne pathogens training
  • Phones parents relative to injuries or illness of students
  • Works closely with and assists the office assistant in order to create a harmonious and efficiently run office
  • Maintains the district's standards relative to confidentiality of information about students and school related concerns
  • Uses good judgment in making decisions in accordance with regulations, ordinances, laws, and established District policies
  • Performs other duties as assigned by the building principal

Job Type: Full-time

Pay: $18.65 - $25.40 per hour
