Job Description:
Medical assistants at CHS are part of the health care team offering primary care clinical services for the MHC student population. Their primary function is clinical support for patient visits with clinicians (ie rooming of patients, in-office procedures and lab tests). Additionally, MAs support the daily operations of the clinic via health related administrative duties (i.e. referrals, scheduling, medical records, clinical supply ordering & billing). MAs only operate within their trained scope of care and must adhere to the same confidentiality regulations and standards of medical documentation.
This is a 10 month position starting mid-July and ending mid-May each academic year.
They support the missions and philosophy of College Health Services, the Division of Student Life, and Mount Holyoke College as well promote multiculturalism and inclusivity for all.
Clinical
  • Prepare patients for clinician appointments, including but not limited to vital signs, medication and allergy reconciliation, brief medical history (chief complaint, menstrual history, substance use)
  • Document patient information accurately and appropriately in the patient’s medical record.
  • Prepare the exam room for special examinations &/or procedures that require additional supplies (ie pelvic examination, dressing changes, suturing)
  • Perform clinical procedures within the scope of practice and training (i.e. nebulizer treatments, EKGs, ear irrigation, fitting crutches, or other orthopedic needs)
  • Provide accurate instructions and patient education as related to clinical procedures
  • Effectively communicate with the administrative support staff and medical providers/nursing staff to maintain efficient patient flow during each clinical session.
  • Maintain clean and organized clinic and exam rooms
    • Maintain adequate non-expired medical supplies/equipment, requisition forms, and patient education materials in clinic storage closets/rooms, mid-station, and exam rooms
    • Adhere to infection control policies in cleaning exam rooms and clinical equipment; including sterilizing reusable medical equipment
  • Process referrals to specialists; effectively communicate with outside medical practices and student patients
  • Recognize clinical and environmental emergency situations and respond appropriately, operating under the policies and procedures of College Health Services.
  • Maintain communication with supervisor about issues related to duties and actively participate in problem-solving.
Lab related
  • Collect specimens and perform point-of-care testing on patients per clinician orders and lab protocols.
  • Collect patients’ specimens, including phlebotomy, per clinician orders and process them for testing by an outside contracted lab.
  • Enter lab test results into the patient record; oversee the interface between the outside lab results input in the CHS electronic health record.
  • Perform timely quality control and maintain proper documentation of QC laboratory protocols, and
  • Additional lab duties assigned to MA assuming lab coordinator role:
    • In collaboration with the Medical Director and lab consultant, maintain updated laboratory protocols, quality assurance practices, and proficiency testing
    • Orient new clinical staff who will perform POC tests; perform annual staff proficiency testing; and maintain appropriate documentation of these reviews.
    • Perform preventative maintenance, calibration, and minor repair of laboratory equipment. Monitor service records of all lab equipment as required by regulatory agencies.
    • Order supplies and equipment for the laboratory; oversee proper disposal of biohazardous waste generated in the lab under OSHA standards.
    • Work with supervisor to periodically review reference lab contracts, new lab products, and techniques, and ensure updated CPT codes are entered into electronic health records.
    • Input all charges for lab services for monthly billing; reconcile monthly billing statement from reference lab.
Administrative medical office activities
  • Cover reception area/administrative duties (phone calls, appointment scheduling) as needed
  • Perform some medical records work in accordance with appropriate privacy regulations (scanning outside records, results, clinical paperwork; faxing results/records to outside medical office)
  • Coordinate billing of CHS procedures & supplies with the Medical Office Coordinator to post charges to students’ MHC account
General
  • Support the overall goals of Health Services by participating in departmental and division meetings, working groups as assigned, and ongoing professional training
  • At all times, the MA will only operate within their designated professional scope and will seek consultation from licensed clinical staff for medical concerns &/or urgencies.
  • At all times, the MA will adhere to federal, state, College, and departmental regulations related to privacy (ie HIPAA, FERPA) and safety (ie OSHA)
Minimum Qualifications:
  • High school diploma and Certification as a Medical Assistant in Massachusetts is required
  • An associate degree in the healthcare field is desired.
  • Competency in phlebotomy is required; certification is desired.
  • At least one year of experience working in a medical office setting; specific experience performing vital signs, immunizations, and point-of-care laboratory tests desired.
  • Current CPR certification
  • Computer skills sufficient for basic word processing and spreadsheet management (Microsoft Office &/or Google Docs/sheets/drive platforms), documenting in electronic health records, email communication, and ability to learn billing programs.
  • Solid and respectful communication skills, both verbal and written.
  • Demonstrated commitment to working with individuals from diverse backgrounds
