Job Title: Administrative Assistant to the Minister of Education Department

Classification: Full-time, Benefits Eligible (This is a 6-month temporary role)
Salary: $57,000 - $60,000
Summary: To provide administrative support for the Executive Minister and Worship Department
Responsibilities:
1. Assist the executive minister with detailed, dynamic, deadline-driven administrative tasks, including:
- create, revise, copy, scan, print, and distribute documents to the various constituencies that interface with the executive minister and the worship department (to include editing and finalizing worship bulletins and scripts)
- create, organize, and maintain physical and electronic files of the executive minister and worship department
- assist in planning, implementation, and coordination of all worship events of the church (Sunday morning worship, occasional services (baptism, confirmation, funeral, wedding, memorial), and other special services)
- work collaboratively with staff in Education and the office of Membership, Care, and Parish Life (“MCPL”) in supporting baptisms, including coordinating with families
- assist with scheduling of clergy, laity, guest ministers, guest presenters, and guest artists serving in worship and in after-worship events
- facilitate travel, lodging, reimbursements, and honoraria for out-of-town guest ministers, guest presenters, and guest artists
- process, track, and maintain records of invoices, payments, and honoraria
- assist in managing the maintenance of all worship materials (vestments, chancel furnishings, vessels, etc.), the inventory of supplies, and order as needed
- order seasonal and occasional worship elements and supplies (e.g., palms, candles, flowers, etc.)
- assist with maintaining worship library
- manage executive minister’s appointment calendar (with staff, commission, and department-related meetings) and assist in meeting coordination (to include making room reservations, tracking RSVPs, coordinating catering as needed)
- draft correspondence
- prepare and organize meeting materials and follow-up materials post-meeting
- respond to general inquiries in a professional, proactive, and timely manner, directing people to the appropriate individuals as needed
- initiate email and telephone communication as needed
2. assist in the administration, coordination, and management of the churchwide program calendar
- respond to inquiries regarding the program calendar professionally, proactively, and in a timely manner, directing people to the appropriate individuals as needed
3. Provide complementary administrative support to the Support Minister for Worship and the Arts, the Digital Minister, and the Pastoral Events Coordinator.
4. Work in partnership with the Music Department, Communications Department, Tech Department, IT Department, and Building & Grounds Committees.
Experience and Educational Requirements:
- Excellent organizational, communication, computer, and people skills.
- Excellent writing and proofreading skills.
- Experience working in a church preferred.
- Basic knowledge and experience in worship preferred.
- Advanced competence in Microsoft Office Suite (particularly Word & Excel).
- Ability to learn and adapt quickly.
- Ability to learn new computer programs also preferred.
- Proactive, timely and independent.
- Ability to meet weekly deadlines and manage multiple tasks.
- Strong attention to detail.
- Ability to be flexible, pleasant and professional, even in stressful situations.
- Work sometimes required on nights and weekends (with ample notice given), but schedule will generally be quite flexible, depending on individual’s availability.
