Job Summary
Neighborhood House is a multi-service agency with many grants and programs and, as such, participant data is collected and maintained in an agency-developed Access database, as well as data systems required by funders for specific programs. The Data Analyst, who will report to the Director of Data and Impact, has responsibility for the collection, review, input and reporting of all Neighborhood House program client data. The person in this position will work with program managers and department directors to establish the appropriate activity and outcome tracking for new programs, train case managers on required data collection, maintain data quality control and develop and run needed reports for funders. The position includes significant data entry.

Responsibilities
Analysis – 30%
  • Upon request provide specific data to internal stakeholders for decision-making purposes; present this data in a variety of formats that meets the needs of the requestor in a timely manner.
  • Promptly respond to requests for data from internal and external stakeholders.
Customer Service/Communication – 20%
  • Collect grant data from all case managers and other required staff members.
  • Serve as a point of contact for front-line staff in their day-to-day data collection activities.
  • Collaborate with managers to determine effective and practical methods for tracking demographic and activity data across a wide range of programs.
Data Security/Internal Control – 5%
  • Demonstrate a deep understanding of organizational folder structure and adhere to these standards when securing documents and other data.
  • Understand procedures and protocols around client and agency data security (e.g. password standards, document and query naming norms, etc.).
  • Identify areas where additional quality control and data review is necessary; design processes and procedures to maintain data integrity.
Production – 30%
  • Thoroughly review all data for reasonableness and accuracy.
  • Take full responsibility for the preparation of monthly reports and distribute them to department directors, program managers, and grantors.
  • Collect and enter all client information in electronic and paper formats. This includes (but is not limited to) service logs, client information forms, attendance sheets, and surveys distributed to client populations.
  • Create reports and presentations on a wide range of topics regarding data quality, interpretation, and analysis for internal and external stakeholders.
  • Assist in the processing of Support Service Requests as needed
Project Management – 5%
  • Work with the data team on emerging projects; provide support on specific project deliverables and communicate progress and any issues
  • Participate in team projects and complete assignments in a timely manner
  • Work with internal and external stakeholders as well as external consultants to execute projects or project activities.
Technology – 10%
  • Learn and maintain knowledge of all Neighborhood House data systems, identify database and workflow issues, and troubleshoot these issues with the MIS team.
  • Be proficient and remain current with Microsoft Excel, creating pivot tables, filters, and formulas to accurately review data as required.
  • Maintain knowledge of Microsoft Access and collaborate with Senior Data Analysts to create complex queries related to a broad set of programs, outputs, and outcomes.

Qualifications
Minimum Qualifications
  • AA degree in human services, information management systems, or a related field, BA preferred. A combination of equivalent experience and training may be substituted for the education.
  • 2 years professional experience working with database systems, Access and/or Apricot preferred. Experience using SQL to query data. Experience with importing, exporting and analyzing in Excel.
  • Demonstrated ability to thrive in a culturally diverse workplace dedicated to equity and inclusion.

  • Familiarity with databases and non-profit data management preferred.
  • Able to manage and organize multiple tasks and competing priorities, to work independently in a fast-paced, team environment and maintain constant attention to accuracy. Strong analytical skills and problem solving skills needed.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work with and be sensitive to individuals from a wide range of cultural, economic, and ethnic backgrounds.
  • Willingness to comply with the established agency performance standards which may include: productivity/personal responsibility, client/customer service-orientation, embracing a team player orientation, entrepreneurialism and maintaining a professional demeanor.
  • Ability to communicate effectively, both orally and in writing, with individuals from a wide range of culturally diverse backgrounds.
  • Ability to work with limited supervision and considerable self-direction.
  • This position is expected to be remote, however the candidate must reside in Washington state and may occasionally need to visit onsite when needed.

Required Credentials
  • Must pass Neighborhood House background check requirements.
  • Position requires Washington State bi-annual criminal background re-check.

Post-Hire on-the-job Training Requirements
  • Current First Aid Certificate within 30 days of hire.
  • Current CPR Certificate within 30 days of hire.
  • Sexual Harassment Training within 30 days of hire.
  • Child Abuse and Neglect training (within 2 weeks of hire).
