Job Summary

Deliver excellent customer service while providing food assistance and information to guests who seek food assistance and resource referrals at the Food Bank. Coordinate various methods of on-site distribution services, which include in-person and online, daytime, some evenings and Saturday hours. Support The Market team in an environment where the pace quickly changes based on need. There is a physical side to this job – a Pantry Coordinator must be able to lift up to 40 pounds repeatedly and work on their feet for extended periods day after day.

Key Responsibilities

Guest service tasks 

  • Provide food assistance to neighbors in need with dignity and respect. This includes every aspect of pantry service such as greeting guests, conducting intake via current client record management system, issuing/reissuing scan cards, surveying shoppers about product needs and maintaining an up-to-date list of those items, developing and sending various communications and assisting shoppers.
  • Oversee registration process of guests when assigned by Manager.
  • Provide information and referrals to other social services for which guests may be eligible, one of which is the Food Bank’s in-house SNAP application.
  • Support pantry team by surveying guests about product and life skills needs.
  • Assist guests with confirming appointments and attendance at workshops and events. Conduct post-participation follow-up as required.

Warehouse-related tasks 

  • Receive and unpack palletized orders several times each week. This includes physically lifting and moving cases of food repeatedly.
  • Be trained on and approved to safely operate all warehouse equipment.
  • Stay current with required food safety training and certifications.
  • Maintain cleaning records and general cleanliness of The Market.

Order fulfillment-related tasks 

  • Complete tasks associated with online ordering. This includes taking pictures of product, entering inventory, printing orders, following up with shoppers, processing and checking orders as well as following up with shoppers.
  • Perform preparatory tasks for stocking product into on-site lockers and pushing messaging to guests to pick up from assigned lockers at appointed times.

Volunteer-related tasks 

  • As assigned by Manager, confirm volunteer participation to ensure there is an appropriate amount of coverage for each shift.
  • Greet volunteers and check them in. This includes recording their presence and escorting them to the designated holding area while awaiting everyone’s arrival. This also includes preparing volunteers for their shift by providing an overview of the on-site pantry duties and assigning them to tasks in the absence and/or at the direction of the Manager of Pantry Operations, Director of Partner Network Programs or Chief Programs Officer.
  • Coordinate work with volunteers to manage inventory. This may include, but is not limited to, checking expiration dates, rotating stock, and restocking, organizing shelves, spotlighting items close to code date, ordering product and checking guests out.

Organizational teamwork 

  • Monitor temperature-controlled equipment and record temperatures throughout the day as required.
  • Participate in direct-service activities and programmatic events, some of which may be offsite, where Food Bank representation is requested or needed. This includes evening and weekend meetings and events.
  • Develop innovative ideas and recommend process improvements that enhance guests’ service experiences.
  • Identify potential presenters for classes/workshops and coordinate scheduling those sessions.
  • Provide coverage at Food Bank’s front desk reception as requested.
  • Act as person in charge, when assigned, in the absence of Manager of Pantry Operations. This includes all aspects of opening, closing and general operation of onsite pantry services.
  • Perform other duties as assigned by management.

Requirements

  • Display comfort and joy working with people of different backgrounds, abilities, opinions and perceptions.
  • Ability to lift up to 40 pounds repeatedly and work on your feet for extended periods.
  • Willingness and ability to work evenings and weekends as required.
  • Must have prior experience using Microsoft Word, Excel and PowerPoint.
  • Must demonstrate integrity with confidential information.
  • Must be willing to learn food bank specific technology, i.e., food inventory computer system computerized record-keeping system(s).
  • Excellent organizational, written, verbal, and telephone skills.
  • Proven ability to successfully handle multiple projects, prioritize and meet critical deadlines.
  • Ability to work strategically, collaboratively, and effectively with staff across many departments.
  • Possess a valid driver’s license. Work travel, if required, is reimbursed at the federal reimbursement rate.
  • PA State Police Background clearance, PA Child Abuse History Clearance.
