Position Summary
This full-time position provides programmatic and high-level administrative support to the Vice Chancellor & Assistant Vice Chancellor of Diversity and Inclusion (D&I) and the units/offices under their supervision (Access Center, Campus Climate, Office of Multicultural Student Services, Student Support Services, Pride Center and Upward Bound). This position requires discretion and the ability to operate within a supportive team independently and with minimal supervision. Duties and responsibilities include managing the office receptionist duties, functioning as a liaison between the office and faculty, staff, students and community, handling confidential information, record and file maintenance, making travel and hotel arrangements for visitors, interview candidates and staff, scheduling meetings for the Vice Chancellor and Assistant Vice Chancellor, supervising student workers within the D&I Office, coordinating special events for the division and conducting special projects as requested. Successful completion of duties in the position will require gaining an understanding of the structure, staff, and responsibilities of the units within the division and their programming.

Required Qualifications
  • High school diploma or equivalent as applicable: GED, HiSET, etc.
  • 1-2 years of administrative experience or equivalent as applicable: public service, academic, etc.
  • Demonstrated ability to appropriately manage a complex workload with multiple priorities.
  • Demonstrated ability to use discretion and good judgement, especially regarding confidential information.
  • Demonstrated ability to learn new software/skills and adapt to changing circumstances.
  • Ability to respectfully relate, communicate, and respond to individuals with a variety of needs.
  • Ability to work well with others in a team environment.
  • Ability to work independently and set priorities as needed to meet the position’s demands.
  • Working knowledge of modern office practices and common office equipment: email, electronic calendars, printer/copier, etc.
  • Attention to detail and excellent organization skills.

  • Experience working with Microsoft 365: Outlook, Sharepoint, Teams, Word, Excel, etc.

  • Ability to identify problems early and proactively resolve them.
  • Ability to communicate regularly with others to coordinate shared work, identify problems and opportunities, and determine next steps.
  • Ability to seek answers independently and know when to ask questions when you still need more information.
  • Experience with and willingness to learn and adapt to the changing policies, procedures, and protocols of a complex administrative office.
Physical Demands
  • Work performed is subject to extended periods using standard office equipment such as a computer workstation/laptop (keyboard, monitor, mouse) inputting, reviewing, and retrieving information; extended periods of viewing a monitor or screen; and using printer, fax, calculator, copier, and telephone.
  • Work performed is subject to extended periods of sitting and may be required to sit for prolonged periods of time.
  • May require occasional travel between on-campus buildings.
Working conditions and environment
  • Normal working hours for this position are from 7:45 a.m. 4:30 p.m. This position does not require evening or weekend work.
  • Most aspects of this position require a campus presence, but a limited amount of regular work from home can be accommodated (one day per week maximum, at the Vice Chancellor’s discretion).
