PO Office Admin PT

Our clients include retail florists, supermarkets and event floral designers who purchase flowers and supplies in bulk, for their stores and projects. As part of the Central Purchasing Office, you will assist with the supervision of the office staff - giving you the opportunity to make a difference.

The Buyer Ops team is part of the team to deliver supply chain excellence to our internal teams and customers. They ensure all paperwork related to purchasing and shipping is accurately completed on time. Attention to detail and managing multiple tasks are strengths.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process and Manage Purchase Orders
    • Manage standard orders, working to ensure all purchase orders are entered and reconciled 
    • Manage late orders, reconciling open product, airway bills, and truck manifest
    • Manage imperfect orders, such as wrong quantity, damaged product, wrong location, wrong product
    • Support sales with the problem solving of late orders 
    • Monitor the market to source fresh/live product. 
    • Collaborate with preferred vendors to ensure product availability
    • Be an industry expert with deep industry knowledge of products, industry, vendors, competition, and trends 
    • Ability to manage performance of multiple product categories to achieve financial targets 
    • Partner with Regional Director(s), Branch Managers, and Supply Managers on region specific product needs to be shared with the Buying Team for sourcing 
    • Assesses market competition by comparing the company’s product to competitors’ products 
    • Provides information for management by preparing short-term and long-term product sales forecasts and special reports and analyses, answering questions and requests 
  • Manage Accounts Payables and Credits
    • Organize branch fresh AP paperwork 
    • Manage AP paperwork with fresh vendors 
    • Follow-up with vendors for imperfect orders
    • Process and reconcile fresh vendor credits
  • Communicate
    • Coordinate with buyer and location ops on daily operations, including when trucks are ready to be received and management of product that is missing or not received 
    • Generate reports on workflow and open issues
    • Participate in regular meetings with buyers and location ops on work status and issues
  • Ability to manage multiple projects and work in a fast paced environment
  • Excellent comprehension, communication, and interpersonal skills
  • High degree of accuracy and attention to detail
  • Ability to plan, organize, and complete own work assignments without close supervision
  • Proficient in appropriate software.

  • Demonstrated ability to learn multiple functional areas of business – e-commerce, sourcing, sales, and marketing 
  • Excellent interpersonal, communication and leadership skills 
  • Must be analytical and possess effective decision making, organization and planning skills 
  • Must possess excellent customer service skills 
  • Ability to multi-task, meet deadlines, and work in a fast-paced environment 
  • Intermediate to advanced level proficiency with MS Office Suite (especially Excel) 

PREFERRED EDUCATION AND EXPERIENCE:

· 2-5 years experience in Floral Industry or similar field
